NRDC is seeking a Senior Project Coordinator to work with the Facilities team in our New York office. The Facilities and Administration department are responsible for a diverse portfolio that includes space planning, real estate, workplace management, security, capital projects, sustainability, travel and procurement across NRDC offices in the US and China. Under the supervision of the Deputy Director for Facilities and Administration, the Senior Project Coordinator will support and manage projects, monitor workflow and documentation, and manage communication and research for the team. As part of this role, the Senior Project Coordinator will provide administrative support for the Director of Facilities and Sustainability and Deputy Director of Facilities and Administration. The successful candidate will be passionate about having a diverse workload, able to work collaboratively, exercise creative problem solving, have strong communication abilities and organization skills.

Areas of Responsibility: 
  • Oversee the Facilities project portfolio to ensure projects are on schedule and within budget; follow up on action steps and core decisions; draft project estimates and detailed scope in partnership with respective team/individual; communicate updates to the team members.
  • Independently drive team-wide projects and workplace initiatives as projects evolve.
  • Proactively identify opportunities to adapt and streamline processes for efficiency and collaborate with the team to find alternative solutions when required.
  • Develop tools to monitor project implementation, data collection, performance indicators, and create reports as needed.
  • Liaise with the Facilities staff across all office locations, Operations team (IT, HR, Finance) and other departments on projects.
  • Develop the Facilities communication portfolio, ensuring messaging is consistent across all offices; create communication materials for senior leadership, board meetings, and institution-wide distribution; maintain the department's website.
  • Manage the Facilities documents and data library, identify and develop areas to improve file management and documentation process.
  • Support meetings and events by managing logistics and following up on pending items.
  • Provide some administrative support for the Director and Deputy Director: schedule meetings; travel; manage expense reports.
  • Other duties as assigned.

Timely completion and attention to detail are expected in carrying out these tasks, as is the ability to assess situations with the "big picture" in mind. 

Educational Background: 
Bachelor’s degree preferred
Skills/Experience: 
  • Minimum 3 years of experience
  • Excellent interpersonal and organizational skills
  • Outstanding written and verbal communication abilities
  • Keen attention to details
  • Power user of Excel, databases and PowerPoint
  • Demonstrated ability to work effectively on multiple projects simultaneously and set priorities
  • Must like to work collaboratively and able to independently execute duties
