Program Assistant

NRDC is seeking a Program Assistant to work with the Healthy People & Thriving Communities team and specifically, its Strategy + Operations team. This position will be an integral part of the program’s success. The position provides administrative support to a number of advocates, requiring strong organizational skills, ability to juggle multiple, complex tasks, and willingness to work with a diverse and fast-paced team with limited supervision. The position may have the opportunity to supplement administrative tasks with specific policy work as time permits.

Areas of Responsibility: 

Program Team Coordination

  • Serve as the primary point of contact/coordinator for Strategy and Operations activities, including weekly calls, periodic retreats, and other staff development/coordination activities as requested;
  • Staff the Healthy People & Thriving Communities Senior Team meetings, providing agendas, calendar invites and notes to all participants;
  • Coordinate with the team of Healthy People & Thriving Communities’ Program Assistants to ensure coordination and to undertake special projects, such as team retreats and meetings.

Budgeting, Contracting and Planning:

  • Lead budgeting for the general Strategy + Operations project code, including additional major projects and initiatives, as requested;
  • Generate and manage budget materials for the full Healthy People & Thriving Communities program, encapsulating multiple project codes;
  • Coordinate budget tracking of all Healthy People & Thriving Communities Program Associates (PAs), including oversee use of and entry into the tracker, and checking overall spend rates at least quarterly;
  • Liaise between Senior Directors, relaying information and concerns with the tracker to relevant finance and development staff;
  • Aide end-of-the-year and mid-year grant reporting;
  • Support grant proposals and reports, as requested;
  • Work with development and finance staff to analyze grant period expenses and facilitate incoming grants/donations;
  • Manage the contract and pass-through grants processes for Healthy People & Thriving Communities, as requested; and
  • Lead planning of program and Strategy + Operations retreats, working sessions, and meetings throughout the year.

 Administrative Support:

  • Support Jason K. Babbie, Senior Director;
    • Arrange all travel: provides flight and hotel options, books travel, and manages calendar
    • Processes monthly AMEX and reimbursement reports in Concur
  • Support other Strategy + Operations staff for calendar and expenses, as time permits

Special Projects:

  • Undertake, with limited supervision, complex research and organizational projects, as requested by the Senior Director.
Educational Background: 
BA/BS graduate with excellent academic credentials.
Skills/Experience: 
  • Extensive experience in administrative and organizational skills;
  • Highly proficient with Microsoft Office including Word, Excel, and Outlook;
  • Strong facility with spreadsheets and databases, and experience with accounting and finance preferred;
  • Highly detail oriented with event planning experience;
  • Excellent written and oral communication skills;
  • Ability to work independently, following organizational procedures and performing accurately under deadlines;
  • Ability to prioritize, manage, and follow through on multiple, complex tasks with a high degree of autonomy;
  • Strong research skills are preferred;
  • Ability to organize and manage small internal and external events;
