The Philanthropy Operations Manager manages financial operations for The Nature Conservancy’s New York Division’s Philanthropy Operations Team. The manager will be responsible for financial reporting, gift coding, pledge management, department processes and special projects. The Manager will additionally assist with revenue projections. The Philanthropy Operations Manager reports to the Philanthropy Campaign Manager and works closely with the Philanthropy Operations Team, the Fundraising Systems Specialist, the Cash Receipting Specialist, and serves as a primary liaison to the finance and operations teams. They serve as a resource for fundraisers across the New York Division.
The Philanthropy Operations Manager works toward meeting the strategic priorities of the Philanthropy Operations Team. They maintain, track and report on key data related to team priorities and fundraising goals, including donor and gift information. They are responsible for the accurate and timely processing of gifts in tandem with the Cash Receipting Specialist, including managing the Cash Receipting Specialist, and providing advice, recommendations, and training related to the functional area of the team. They oversee the booking and management of donor pledges, ensuring audit compliance and accuracy. They perform independent analysis of key program data and produce multiple monthly reports for Senior Managers, the World Office, and the New York Division’s Board of Trustees. The Manager must be an expert in the systems and resources utilized by the team, applying their knowledge to providing organizational support. The Philanthropy Operations Manager will document and maintain department policies and procedures. The Manager will manage the relevant hard and electronic filing systems, and serve as a resource the department on administrative questions.
They serve as a high-end user of the constituent management system and resource for the department. They coordinate with other Development Operations Managers across chapters and with the World Office to stay apprised of, and influence, Philanthropy Operations procedures across the organization. In concert with the Philanthropy Campaign Manager, they are responsible for work on internal audits and donor recognition lists. The Manager will have substantial contact with stakeholders. They take on additional duties to enhance the work of the team, such duties may include, but are not limited to, leading training initiatives, developing documentation, and/or enhancing the systems and tools used by the team. They will keep up-to-date on market trends and best practices in order to improve services. They will adapt processes and implement recommended practices in order to improve effectiveness based on their in-depth understanding of related policies and procedures.
RESPONSIBILITIES AND SCOPE
- Work in concert with the Philanthropy Campaign Manager to manage financial, fundraising metric, and constituent reporting for the philanthropy department.
- Supervise one or more administrative or professional staff.
- Process the most complex pledge and gift commitments for the Division, including audit, out-of-state CRM commitments, adjustments, and pledge review.
- Oversee gift processing for the New York Division, working closely with finance and philanthropy team across the state. This includes updating relevant staff about procedural changes related to the constituent database or gift processing.
- Act independently within broad program goals to prioritize tasks in the absence of specific instructions, exercise independent judgment to identify and solve problems, and make decisions that may bind the organization financially or legally.
- Demonstrate sensitivity in handling confidential information.
- Provide input through project teams for the development and implementation of new initiatives or the improvement of existing programs.
- Ensure programmatic commitments, TNC policies and procedures, financial standards, and legal requirements are met and managed for compliance.
- Responsible for assisting with revenue projections, revenue allocations, and working with the finance team to provide financial information.
- Manage projects with several variables, set realistic deadlines, manage a timeline, and ensure accountability.
- Travel occasionally, work long and flexible hours as needed.
- Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
- Work is diversified and may not always fall under established practices and guidelines.
- Other duties as assigned, including expense reporting and data management.
- 3 years related experience or equivalent combination.
- Experience supervising staff, interns, and/or volunteers.
- Experience generating reports, and analyzing and interpreting data.
- Experience working with Microsoft Office Suite, especially Microsoft Excel.
- Experience with current and evolving technology in relevant field.
- Experience working with cross-functional teams.
- Experience, coursework, or other training in principles and practices of relevant field.
