The Office Manager will work as part of the New York City team, coordinating tasks related to one or more functional activities, such as operations support, procurement, meetings management, special events, facilities management, reception, training, volunteer programs, safety, etc.
The Office Manager (OM) will work towards meeting the strategic priorities of the New York City office by implementing tactics for approved plans and completing day-to-day tasks and activities in a fast-paced environment. They may be responsible for purchasing, central filing, mailroom operations, facility management, telecommunications, and planning and execution of logistics for special events and/or meetings. They will also be responsible for reception and serve as the public face of the Conservancy for this office. They may assist with the recruitment, training, and recognition of program volunteers, and may direct the activities of volunteers. In addition, the OM may perform Human Resources and Finance administrative tasks, including processing forms, preparing reports, and assisting with budgets. This position may serve as the go-to person for Information Systems questions/requests. They will respond to inquiries about program activities, create program materials, and draft correspondence. They will be well versed in the systems and resources utilized by the team in order to execute assigned tasks. The OPS will provide guidance in satisfying administrative requirements based on extensive knowledge of policies and procedures. They will implement processes and practices to improve effectiveness. The OM will communicate with team members in various programs across the Conservancy, as well as with donors, volunteers, vendors, and business relations. They will communicate or distribute information to assist team members in making decisions, solving problems, and improving workflow.
RESPONSIBILITIES AND SCOPE
- Perform duties under general supervision and established guidelines;
- Make day-to-day decisions within the scope of work assignments and prioritize work independently;
- Identify routine problems and utilize existing resources for resolution, referring difficult questions and problems to supervisor;
- Demonstrate sensitivity in handling confidential information;
- Does not supervise any staff, but may supervise volunteers, interns, or temporary staff;
- Financial responsibility may include purchasing, processing invoices, contracting with vendors, and assisting with budget tracking;
- Serve as a team member for assigned projects;
- Be willing to travel, work overtime, and work evenings and weekends as needed; and
- Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
- Experience in business writing, editing, and proofreading;
- Experience organizing time and managing diverse activities to meet deadlines;
- Experience performing one or more administrative processes; and
- Experience working and communicating with a wide range of people.
