NRDC is seeking a Staff Assistant to work with the Membership and Board Relations teams in our New York office. The Assistant’s main responsibilities include providing administrative support for the Membership and Board Relations departments, as well as providing customer service to NRDC Members. This is a great opportunity for a self-starter who enjoys working in a fast-paced environment, is comfortable with juggling multiple responsibilities and balancing priorities. The Assistant's time would be dedicated to handling a wide range of duties that enable smooth program functioning and are in service of supporting high-level professionals at NRDC. These duties include, but are not limited to, the following:
Membership Department Responsibilities:
- Assist with mailing of the weekly high dollar acknowledgments, and entering gift memberships into our donor database.
- Prepare expense reports for Deputy Director of Membership and Membership gift officers and process vendor invoices.
- Respond to members who call with their questions and concerns about NRDC.
- Assist with meeting set-up and calendaring when needed.
- Maintain inventory of stationary and other materials for the Membership department.
- Assist with managing the Membership voicemail hotlines.
- Other duties as assigned.
Board Relations Responsibilities:
- Assist Director of Board Relations in schedule management, travel booking, expense reporting, among other tasks related to general administrative support.
- Provide key support in the planning and logistics of quarterly board meetings, including invoice processing, communications with vendors, and other tasks as assigned.
- Work with other members of the Board Relations team on projects related to board governance, contact management, database management, and as assigned.
- A minimum of one year full-time experience in a development or administrative support position, preferably in a non-profit setting.
- Superior ability to perform independently with meticulous attention to accuracy/detail, including excellent proofreading skills;
- Excellent written and oral communication skills; excellent interpersonal skills; must be comfortable speaking and interacting with NRDC members, donors, and trustees;
- Strong organizational skills to prioritize and carry out multiple tasks requiring rapid turnaround and to follow institutional procedures;
- Knowledge of Microsoft Office Word, Excel, Outlook, the Internet; familiarity with spreadsheets and mail merges required;
- Ability to maintain composure under stress and to adhere to high standards of confidentiality;
- Must be able to work evenings on occasion;
- Ability to maintain a professional image;
- Experience in database management strongly preferred;
- Keen interest in environmental issues is a plus.
- Strong customer or member services skills.
- Enthusiastic, warm attitude with a strong interest in assisting people.
- Event planning experience a plus, but not required.
