Facilities Deputy Director

The Facilities and Administration Department is seeking a Deputy Director, Facilities to work cooperatively and under the oversight of the Director of Facilities and Sustainability Programs.  The NRDC’s growing workplace needs span seven offices worldwide with nearly 700 staff.  The successful candidate will have excellent management skills as well as an innovative and holistic approach to enabling the success of NRDC’s programs.  He or she will have demonstrated success in the transformational management of a diverse organization comprised of a wide range of staff competency from entry-level to mid-level professionals; and will be comfortable working in a rapidly changing, fast-paced environment; leading and proactively managing work streams. The candidate should display the following knowledge, skills, and abilities: performance management analytics, leadership, customer/tenant relations, project management, negotiation, critical thinking, and crisp verbal and written communication skills. He or she will also provide management and operational support for the entire scope of the Director’s work, enabling the Director to focus more attention on long-term planning and strategy. 

Areas of Responsibility: 
  • Staff management: Assist the Director with the management of seven direct reports to the Director and a total department of 22 staff members by advising the Director, utilizing informal authority within the department and, will confer with and advise with the Director on staffing structure and the goals and objectives for facilities staff.
  • Facilities management: Assist the Director in overseeing the day to day facilities operations of a roughly 200k square foot portfolio consisting of 7 offices worldwide with nearly 700 staff members.
  • Capital and maintenance plans: Assist with the creation of capital and maintenance plans for our 2 owned facilities and 5 leased office spaces.
  • Real estate management: Assist with the oversight and management of real estate decisions and workplace strategies to enable staff productivity and optimize the utilization of costly real estate for two owned properties in New York City and Santa Monica and five leased office spaces in major cities. Management of real estate shall include but not be limited to:
    • Optimize NRDC’s processes to anticipate future head count growth and plan accompanying real estate requirements.
    • Complete business cases for lease renewals, expansions, office relocations and “sell property vs remain in place” scenarios.
    • Improve NRDC’s utilization rate of costly real estate across the portfolio by leveraging best in practice workplace strategies.
  • Workplace strategy: Assist with the strategic vision of the emerging workplace, taking a holistic approach to health and wellness, increased collaboration, mobility, ergonomics, space efficiency, and technology. 
  • Construction management: Assist the Director in providing oversight to award winning, and environmentally leading construction practices to our interior office buildouts across the portfolio.
  • Administrative management: Manage the implementation of the NRDC procurement strategies, such as the travel management plan and other procurement initiatives.
  • Security: Assist the Director in overseeing the upgrade and implementation of rigorous physical security standards and protocols across the institution.
  • Sustainability management: Assist with the integration of the strategic vision and implementation of the NRDC Sustainable Operations plan into the overall daily operations for Facilities and Administration. Examples of this include: 
    • Liaise with the Sustainability Manager on sustainability initiatives such as energy management, carbon offsetting, health and wellbeing projects to ensure that these initiatives are highly coordinated with overall day to day operations in Facilities.
  • Complex projects as assigned.

Timely completion and attention to detail are expected in carrying out these tasks, as is the ability to make decisions and assess situations with the "big picture" in mind.  The Deputy Director must work well under pressure and respond to dynamic requests and issues in a calm and professional manner.

Educational Background: 
College degree
Skills/Experience: 
  • Master’s degree or experience in the various job responsibilities listed above preferred.
  • 8-10 years of experience.
  • Outstanding interpersonal, communication and organizational skills.
  • Must like to work collaboratively, manage a heavy and diverse workload and independently execute duties.
  • Demonstrate ability to work effectively on multiple projects simultaneously, set priorities, organize time, and identify resources for projects as needed.
  • Power user of Excel, databases, PowerPoint, collaborative online tools and electronic communication.
  • Experience working with environmental and/or social issues, including renewable energy, sustainable procurement, carbon accounting preferred.
