We are on the hunt for a detail-oriented, amazingly well-organized “administrative rockstar” to provide high-level support for our NYC-based CEO.

You should be a positive, tech-savvy self-starter who excels at juggling multiple projects and working internally and externally across several time zones. You’ll need to have the confidence and intuition to put yourself in the shoes of our CEO and anticipate their needs and those of the organisation.

Areas of Responsibility: 

You should be logical, resourceful and solutions-focused—an unflappable optimist who’s able to use good judgment to reconcile issues and knows when to seek guidance from others. Crazy things happen. You should be able to pause and laugh at them for a brief second before quickly taking action.

The successful master multi-tasker will sit in the dynamic People team working closely with the Chief of Staff/Lead Collaborator to ensure a streamlined and impactful 2019 and beyond for the organization.

This is an exciting role as you will have a comprehensive overview of the entire B Team universe and also act as the NYC office “glue,” working at the center of the organization. Essentially you will work across the team so if you’re a people person, this is the role for you!

Your role will include:

  • Completing a broad variety of administrative tasks including: managing an extremely active calendar of appointments, completing expense reports, composing and preparing sensitive correspondence, managing CEO’s inbox, arranging complex and detailed travel plans, itineraries and agendas and compiling briefing documents for travel-related meetings.
  • Supporting the CEO’s relationships by managing our CRM database—Salesforce. Following meetings, the EA will log comments and insights into Salesforce records.
  • Working with the Chief of Staff (Lead Collaborator) in planning and coordinating the CEO’s schedule and ensuring it is followed, respected and protected.
  • Together with the Chief of Staff (Lead Collaborator) working closely and effectively with the CEO to keep them well-briefed of upcoming commitments and responsibilities and following up appropriately.
  • Communicating directly, and on behalf of the CEO, with B Team Leaders, funders, staff and others on matters related to CEO’s schedule, including drafting acknowledgement letters, personal correspondence and other tasks that facilitate the CEO’s ability to effectively lead the company.
  • Updating and managing the CEO’s social media channels and being across potential opportunities for engagement.
  • Office management for the NYC-based team including managing vendor relationships, leading on telecommunications needs and maintaining office and NYC-based staff equipment and supply orders.
  • Support accounts management with suppliers and invoices as appropriate.
  • Ensuring the CEO makes time for balance and personal health. 
Skills/Experience:

  • Good judgement and excellent memory in high-volume work environment.
  • Strong team-building skills, grit and resilience especially while under pressure.
  • Diligence, patience, flexibility and adaptability. You will be comfortable handling last-minute changes in logistics or needs.
  • Excellent gatekeeping skills.
  • Emotional intelligence—a knack for understanding emotions in ourselves and others.
  • Passion for your work and the mission of The B Team.
  • Professionalism and integrity, ability to deal appropriately with high-level contacts and their EAs.
  • Strong verbal and written communications skills.
  • Flexibility to work occasional evenings and weekends.
  • Tech savviness—social media management, Microsoft Office, CRM (Salesforce) database experience.
  • Ability to juggle lots of balls in the air that can’t be dropped.
  • At least three years of experience as an Executive Assistant or administrator (in a non-profit or corporate environment) However, we will consider outstanding candidates with less experience who demonstrate the skills and can-do attitude to take on this role.
Compensation/Benefits: 

$50,000 plus very competitive benefits inc. full insurance for you and dependents, unlimited leave, maternity / paternity packages.
