Amnesty International USA (AIUSA) seeks a meticulous and organized Executive Assistant with excellent multi-tasking and analytical abilities to support the Deputy Executive Director (DED) for Public Affairs.

The Executive Assistant is a member of AIUSA’s Public Affairs Department and ensures that the DED for Public Affairs is informed of relevant issues and important developments.  The Executive Assistant ensures that time-sensitive issues are prioritized, that ongoing work is on deadline, and that the DED for Public Affairs is updated on important internal and external developments.  The Executive Assistant enhances coordination within the Department and between the Department and teams across the organization, including by assisting the DED for Public Affairs’ direct reports as assigned.  This position handles confidential and sensitive matters professionally.

Areas of Responsibility: 
  • Identifies and prioritizes issues that require the attention of the DED for Public Affairs. Coordinates communication with the DED for Public Affairs while they are traveling; prepares briefs and day packets as needed.
  • Provides research and writing support to the DED for Public Affairs as assigned.
  • Supports the DED for Public Affairs to create processes and systems to support collaboration among units in the department and across the organization. Maintains the DED for Public Affairs’ files.
  • Manages the DED for Public Affairs’ calendar, travel schedule, speaking, and other engagements. Prepares written communications as needed for such engagements.
  • Works on department-wide projects that include: coordinating department calendar of events, activities, and hiring process with Human Resources, including interns, and managing the mechanics of the budgetary and master planning process.
  • Supports preparation of departmental reports to the Board of Directors on behalf of the DED for Public Affairs
  • Monitors the DED for Public Affairs expense budget; processes invoices for payment and expense reports
  • Keeps abreast of current and ongoing advances in digital technology tools, including innovations in information dissemination, social media platforms, multimedia, and open source technologies.
  • Other duties as assigned
Skills/Experience: 
  • 3 years of experience in an administrative or operational role within a fast-paced, high-demand environment
  • Experience working with sensitive or confidential information
  • Experience working with employees at all levels
  • Experience working on human rights issues preferred
  • Non-profit experience preferred
