As the Disbursements Manager at Teach For America, you will be part of a growing organization with an operating budget of approximately $300 million. The Disbursements Manager maintains the day-to-day accounts payable function within a high-transaction environment, from invoice processing to client management, in addition to expense management corporate card purchases and reimbursements. You will work with the accounting team to enforce, implement, and monitor best business practices around expenditures to ensure appropriate internal controls and compliance with GAAP, government contracts, private grants, and Teach for America’s policies. The Disbursements Manager will manage a portfolio of expenses; reviewing transactions for compliance, identifying portfolio compliance trends and risk; provide specialized customer service, and work closely with various financial teams to support client financial goals. In this role, you will receive guidance from your manager, the Managing Director of Accounts Payable.
- Manage a portfolio of expenses (supplier invoices, corporate card purchases, staff & non-staff reimbursements) and disburse transactions with a high level of accuracy and compliance (75%)
- Process invoices and expenses with a qualitative review of items such as coding, documentation, grant compliance to ensure it meets the organization’s requirements (40%)
- Work closely with client base on financial compliance issues; tracking, reporting, training and improving compliance trend (20%)
- Identify and rectify out-of-compliance expenses within the Workday Procure to Pay environment with a strong partnership with Procurement team (10%)
- Assist in all month close activity such as preparing accrual entries, maintaining prepaid amortization schedule, and reconciliation of accounts (5%)
- Work with other functional Finance teams such as Grants & Contracts, Revenue, and Planning & Analysis and perform full circle review of team’s budget, grants, revenue and disbursement and provide specialized support in assistance towards client’s financial goals (10%)
- Ability to analyze and compile weekly reports of processing benchmarks to ensure function is meeting performance metrics and creating solutions to close performance gaps when needed for portfolio (10%)
- Special projects as needed throughout the year (ex. Vendor Master Data file, system implementations, etc.) (5%)
- Minimum of 3 to 5 years experience in the Accounts Payable or Accounting field
- Proven experience in project management; able to lead a group of professionals toward successful completion of projects in a timely manner
- You have a strong ability to identify potential areas of compliance vulnerability and risk
- You can develop and implement corrective action plans for resolution of problematic issues, and provide transformative intervention to avoid similar situations in the future at the portfolio level
- You are able to reconcile ledger accounts and record journal entries
- You have a deep understanding of 1099-Misc and 1042-S tax filings
- You are familiar with Procure 2 Pay process, electronic payment programs, and system automation implementations
- You are an analytical problem solver, and can demonstrate analytical and reporting skills
- You are highly motivated and have exceptional organizational skills; ability to multitask and prioritize work with a high level of attention to detail
- You are a team-oriented individual with excellent relationship building skills. You are friendly, approachable, and you enjoy developing relationships with clients.
- You are proficient in MS Word, MS Outlook, and PowerPoint. In particular, you have advanced knowledge of MS Excel and Workday+
