The Development Assistant, Special Projects, will assist the Special Projects department in organizing events and promotional activities; manage all event income; and provide general administrative support to the Special Projects Team.
Areas of Responsibility:
- Assist with all administrative tasks for the Special Projects department copying, faxing; managing mail merges, coordinating meetings and conference calls, booking conference rooms and meeting spaces; securing AV needs, prepping for meetings, and processing expenses in Concur.
- Assist with tracking and maintaining department income and expenses.
- Manage all gift acknowledgements for and corporate contributions income and acknowledgement letters.
- Assist with all logistical details for events including rsvp tracking, list management, vendor relations, night of the event, and preparing event essentials such as nametags, check-in materials, registration lists, etc.
- Assist in managing event contracts and submitting to Corporate Counsel.
- Manage, process and record event income; process invoices and appropriate handling of payment to event vendors.
- Respond to and manage inquiries from special event email accounts.
- Responsible for taking meeting notes for all Special Projects staff meetings and other meetings as needed.
- Manage Special Projects department NRDC promotional items inventory
- Limited travel may be required
- Support the National Director of Donor Relations and Special Projects as needed
- Proficiency in Microsoft Office, Excel, Word, PowerPoint and Outlook
- Ability to work accurately and with composure under deadline pressure
Educational Background:
BA required
Skills/Experience:
- 1-3 years of work experience
- Experience in event management preferred
- Ability to handle multiple tasks simultaneously and with minimal supervision
- High comfort level with fiscal responsibility and tracking
- Proficient in Microsoft Office suite is necessary. MS Word, Excel, in particular. Knowledge of Salesforce a plus.
- Strong verbal, writing and interpersonal skills
- Ability to prioritize and multi-task at times in high paced settings.
- Mathematical aptitude, detail oriented, self-directed, takes initiative, self-starter are all a plus.
- Flexible schedule. Will need to come in early or stay late at times.
- Possible lifting of boxes that may have event supplies. Boxes can range from 10 – 30lbs.
