As the Coordinator, Program Operations, you will play a pivotal role in ensuring that program operations run efficiently and are aligned with the team’s priorities. The primary responsibilities of this role involve staff and event support, budget management, and supporting with compliance for our AmeriCorps and Professional Services Agreement (PSA) process. You will own the vision and execution for Programs Team support in relation to communications, culture, and events. The ideal candidate is highly organized, team-oriented, has strong initiative, passionate about developing their own skills and practice, has excellent customer service skills, and is a culture builder. The Coordinator will report to the Director, Program Operations.

Areas of Responsibility: 

Event Planning & Logistics (30%)

  • Support Manager of Program Operations with planning and logistics for special events related to institute and corps member programming like institute staff conferences, TEE seminars, other special events etc.

Programs Team Support (25%)

  • Support logistics and scheduling for team meetings, retreats, team culture activities, and special events/projects supporting team goals
  • Develop strong communication and organizational systems within the Programs Team including team-wide newsletters
  • Foster strong team culture through team-wide activities, initiatives, or outings
  • Manage calendar for the centralized Programs Team and the VP of Programs; Support other members of Programs Leadership Team as needed with external meetings

Budget Management (15%)

  • Support Manager of Program Operations with budget planning and forecasting.
  • Own processing of Amex expenses and purchase orders for the Programs Team

Corps Member Support and Communication (15%)

  • Support Coordinator, Corps Operations with AmeriCorps enrollment and compliance processes for incoming and current member participation

All Staff Expectations (15%)

  • Program Operations Team Participation:
    • Support Program Operations initiatives including, but not limited to volunteering for corps member events, confirmation, and hiring support (as needed).
  • Programs, New York Regional, and National Participation:
    • Contribute to ongoing Programs team meetings (i.e. sub-team, boroughs, full team, etc.)
    • Participate in all-staff meetings, activities and events such as selection, confirmation, strategic planning and conferences/summits
  • Adhere to all deadlines, action items and structures to support the work of our regional team
Educational Background: 
Bachelor's degree and 1-2 years of professional experience is preferred
Skills/Experience: 
  • Willingness to work some weekends and evenings
  • Excel and Outlook skills highly preferred
  • Must have exceptional written and oral communications skills
  • Ability to successfully manage multiple priorities at the same time, including creating strong project plans and executing against them effectively
  • High energy, maturity, and leadership with the ability to serve as a unifying force and to position communications at both the strategic and tactical levels
  • Ability to translate feedback and other data points into actionable solutions and plans
  • Strong organizational skills, attention to detail
  • Ability to manage a high volume of emails and phone calls
  • Ability to influence and motivate others
