The Events team is responsible for the planning and execution of Amnesty’s biggest conferences/events. The Annual General Meeting (AGM) Assistant will support the Events Manager in planning and implementing the 2019 AGM. They will be key to the execution of AIUSA’s Annual General Meeting taking place in the Spring of 2019 in Chicago, Illinois. The AGM assistant may also support additional events as needed.
They will provide logistical and administrative support to ensure that AGM is well planned and meets all event goals. They will also support with conference registration, front of the house management, volunteer management and the visioning and production of all interactive spaces at the conference. In addition, the AGM Assistant will support with managing working group meetings and other administrative tasks as needed (expense management, budget tracking, etc.).
This role requires significant attention to detail, communication, problem-solving, and collaboration skills, along with previous event planning experience.
- Assists in maintaining, timelines and tracking expenses
- Streamlines communication through logistical and administrative support.
- Communicates event goals clearly to stakeholders, and provides reports on progress.
- Assists on the day of events, including problem-solving, directing event set-up, communicating with staff, and organizing vendors.
- Builds and maintains a working relationship with vendors and venues.
- Anticipates and plans for different scenarios.
- Working with relevant staff and volunteer leaders helps to ensure that the events continue to reflect AIUSA’s brand, policies, and priorities.
- Two years of event planning experience
- Knowledge and experience of administrative tasks
- Knowledge of Eventbrite platform from organizer perspective
- Excellent verbal and written communication skills, with an ability to present ideas fully and concisely
- An ability to report on goals and progress to colleagues, volunteers, and staff alike
- Commitment to Amnesty International USA’s mission
- Experience as a former AIUSA intern is a plus.
