The Senior Project Accountant provides highly specialized finance, accounting and general administration-related services to TNC India. The position is based at Punjab/Haryana or Delhi.
We seek a Senior Project Accountant with accounting, finance and administrative expertise to independently maintain and report on Project Accounts. Working as a consultant, the person in this role will perform a variety of high-level accounting and administrative tasks including maintaining accounts, financial management, procurement, tax compliance, budgeting, banking operations, cashflow, vendor management, audit, logistics and travel arrangements. The position involves interaction with a range of senior staff, local partner NGOs and consultants working across the globe. The candidate should have good understanding of accounting, taxation, company law and FCRA as well as strong administrative experience. S/he should be extremely well organized, focused and a multi-tasker. S/he will work on multiple projects which may require working long-hours. The position has dual reporting – (1) Project Head; and (2) Director of Finance & Operations. Besides core skills, effective communication skills in English and an ability to multi-task are important to be successful in this role. The position involves up to 20% travel within India.
Finance/Accounting
- Maintain complete set of project accounts in Tally.
- Compile, review and monitor budget utilization summary and monthly financial MIS for the project
- Coordinate with the local accounting and payroll firm for providing the necessary information required for TDS and consolidation of accounts.
- Take care of day-to-day banking requirements, prepare monthly bank reconciliation statement and do follow-up with banks for resolving pending items, if any.
- Maintain a list of approved vendors and from time to time update the list. Participate in complex negotiations with the vendor.
- Work with the finance team at Corporate Office in Delhi on financial analysis and cash flow projections
- Monitor payments being made at project site and ensure that all payments are as per the terms of the contract, in line with the internal financial policies of TNC and in compliance with the local laws.
- Monitor financial reports submitted by partner NGOs associated with the project. Prepare and highlighting variances in budget utilization.
- Provide support and clarification to program staff and/or partner NGOs on accounting and admin issues.
- Visit partner NGOs, if required, for reconciliation and proper accounting and closure of grant.
- Collaborate with program team in periodic review of project budget and making necessary changes after getting the required approvals.
- Coordinate with Statutory Auditor, Internal Auditor and Donor Auditor on audit deliverables and prepare audit documents.
- Proper filing and maintenance of financial records (vouchers, BRS, invoices, contracts, grant agreements, etc.) for later use.
Administration
- Provide admin support to the team and help them in organizing workshops, events and other conferences in and around Project location.
- Manage entire procurement process and ensure that all procurement is as per approved budget and according to the internal policy/SOP.
- Maintenance and safekeeping of Fixed Assets and other inventory items purchased and/or used at Project Office/location. Ensure that there is no misuse or loss of Fixed Assets.
- Proactively plan logistic requirements and provide support for the smooth functioning of office.
- Manage existing vendors and external suppliers and do periodic review and market survey for engaging more vendors and getting better services/goods.
- Maintains confidentiality of frequently sensitive and financial information. Practice discretion – will not indulge in gossip, or betray confidences. Knows what must be kept confidential.
- Experience with relational databases.
- Technical experience with grants award accounting issues.
- Experience using accounting and financial reporting systems.
- Experience with government regulations related to grants and contracts.
DESIRED QUALIFICATIONS
- Semi-Qualified Chartered Accountant/Company Secretary or Master's Degree in Commerce or related field.
- Minimum 6 years’ experience of working in the Accounts Department of an international organization.
- Multi-lingual skills and/or multi-cultural experience appreciated. Ability to read and speak Punjabi language is preferred.
- Excellent analytical and quantitative skills.
- Non-profit accounting experience preferred.
- Experience in manipulating, analyzing and interpreting data. Advanced expertise in Microsoft Excel, Word and PowerPoint.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Knowledge of current trends in specific field.
