Consistent with the Christian mission and vision of the YMCA of Middle TN, and in cooperation with other YMCA staff, under the direction of the Executive Director of Programs, the Association Sports Director main role will be developing, organizing and successfully administering all youth sports programs in {insert community}. This position is responsible for overseeing the development and promotion of quality youth sports programs and providing supervision and guidance to program staff to ensure all specific duties are carried out.

Areas of Responsibility:

  • Oversees Association year round youth sports program in {insert community}
  • Staff/Volunteer Development
    • Leads the efforts to recruit, develop and train volunteer coaches with assistance from the Sports Coordinators.
    • Oversees pre-season coaches meetings & clinics which included but not limited to training material, practice plans, league expectations, etc.
    • Ensure all volunteer applications, background checks and online training have been completed by all program sites.
    • Hire, supervise, training, and develop  sports coordinator in your area of supervision  
  • Program Administration 
    • Build and expand the program enrollment and participation.
    • Ensure all registration systems are set-up prior to registration period beginning. Including but not limited to Daxko, PlayerSpace, and YMCA website.
    • Collaborate with Association marketing department to create and implement local marketing and public relations campaigns to expand participation.
    • With each Sports Coordinator, develop an in-house and community marketing campaign for upcoming season and ensure it is followed through.
    • Respond to all member and community inquires and concerns within 24 business hours. Direct to appropriate Sports Coordinator/Administrator as needed.
    • Communicate program information, changes and needs in a timely manner to Sports Coordinators.
  • Program Operations
    • Ensures all programs comply with YMCA standards and methods of operation including all emergency procedures.
    • Ensure the safety and quality of program and participations at all times, which includes all equipment being safe, clean and operable; ensure necessary repairs are made and all athletic fields and facilitates are free from hazards.
    • Integrate member-service and engagement strategies into all programs to ensure positive member recruitment and retention.
    • Evaluate feedback from participants to make any necessary changes and create objectives with each program site.
    • Provide written and verbal communication to all Sports Coordinators, participants and coaches for clear understanding of YMCA policies.
    • Develop and maintain a Youth Sports work plan with Executive Director of Programs and center. Update as needed.
    • Oversees Sports Coordinators work in league development or preseason preparation including but not limited to roster builds, game schedules, and securing volunteer coaches. Ensures all sites meet deadlines and assists sports coordinators as needed.
    • Site inspection during season including practices/games to ensure program standards are met and safety procedures are followed.
    • Handle all major purchasing and inventory of equipment, uniforms, end of season awards
    • Ensure Association wide Rules of Play are being implemented across all program sites by Sports Coordinators, coaches and officials. Conduct an end of season evaluation on rules to provide clarity or revisions.
    • Develop curriculum for camp, instructional and recreation youth sports programs.
    • Assign all contract officials to all program sites.
  • Fiscal Management
    • Oversees operation budget
    • Develop, monitor and effectively forecast program budgets to meet fiscal objectives
    • Oversees Sports Coordinator part time staff schedules to ensure each site meets payroll budget parameters
  • Facilities Development
    • Responsible for securing and scheduling all athletic fields and facilities for practices and games
    • Responsible for all site preparation with vendors which include but not limited landscaping/field maintenance, field lining, waste management.
    • Responsible for ensuring all contract agreements and insurance policies have been completed for all program sites prior to the season starting
    • Maintain complete familiarity with all risk management procedures and policies.
  • Other
    • Expand youth sports program into new communities.
    • Maintain and build relationship with all vendors and community partners.
    • Attend applicable trainings and conferences to further professional development
    • All other duties as assigned.
Educational Background: 
High school diploma or equivalent required; Bachelor’s degree preferred
Skills/Experience: 
  • Passion, enthusiasm, and commitment to the mission and cause of the YMCA
  •  Superior supervisory skills and an enthusiastic personality with the ability to inspire and motivate staff, volunteers, members and participants to create a culture of service
  •  Strong interpersonal and communication skills and the ability to relate effectively to diverse groups of people from all social and economic segments of the community
  •  Must present a professional image and possess conflict resolution skills, and demonstrate sound judgment and initiative
  • Must be highly organized with the ability to work under pressure and handle multiple tasks
  • Must be able to maintain confidentiality of information
  • Proficiency in Microsoft Word, Excel, PowerPoint, and other software programs, as well as the ability to use most office equipment is required
  • Ability to work a flexible schedule, including evenings and weekends
  • Ability to travel to multiple locations
  • Minimum 18 years of age
  • Minimum two or more years of work experience in sports recreation required
  • Experience in running multiple sports programs or a multiple sports background is also preferred

Required Certifications

  • Before start of 1st shift: New Hire Orientation training
  • Within two weeks of hire or before 1st shift with children (whichever comes first):Basic CPR/ First Aid/ AED
Compensation/Benefits: 

Salary: $43,373.00 - $54,217.00
