Consistent with the Christian mission and vision of the YMCA of Middle TN, and in cooperation with other YMCA staff, under the direction of the Director of Administration, the Assistant Director of Administration is responsible for answering incoming calls for Joe C. Davis Camp Widji and providing YMCA information to the public in a friendly, courteous, helpful and efficient manner, both on the phone and in person.  The incumbent will also provide administrative support to the office, as needed, and will also play an integral role in the aquatics department.

Areas of Responsibility:

  • Courteously, professionally and with a smile, greet clientele and visitors, both in person and on the telephone.
  • Provide superior customer service on the telephone by problem solving, proactively responding to callers’ day-to-day questions and requests, and professionally managing all incoming and outgoing calls
  • Maintain a constant presence at the welcome center to manage phones and greet guests
  • Keep office supplied with all business needs, as well as drinks, snacks and cleaning supplies
  • Ensure that there is always paper loaded in the copier and fax machines and adequate postage, ink and labels in the meter
  • Assist with other tasks, projects and events as requested
  • Pick up incoming mail and distribute to mailboxes daily; deliver outgoing mail to mailbox and YMCA mail to courier pick-up areas
  • Perform typing projects as requested by the Director of Administration
  • Keep supply of coffee made for guest and visitors
  • Ensure that lobby area is kept neat and uncluttered
  • Take new camp reservations and book new memberships
  • Assist the Director of Administrator with new hire paperwork and preparing new hire packets
  • Assist with entering new staff into Daxko and CampWise
  • Assist with preparation summer staff training
  • Assist with various other needs of camp (such as parent packets, flyer distributions, mailers and prepping for open houses)
  • Monitor scholarship applications for camp each summer, working with the Development Director and Director of Administration to review, process, and communicate to all scholarship recipients
  • Make daily bank deposits and distributions
  • Assist with data entry into Raiser’s Edge, the gift and donor database management system
  • Coordinate the scheduling and set-up of all lifeguard courses, classes, and in-services
  • Attend staff meetings and training sessions
Educational Background: 
High school diploma or equivalent is required; YMCA experience preferred
Skills/Experience: 
  • Passion, enthusiasm, and commitment to the mission and cause of the YMCA
  • An enthusiastic personality with the desire to serve members, volunteers, guests, participants and staff to create a culture of service within our Centers
  • Strong interpersonal and communication skills and the ability to relate effectively to diverse groups of people from all social and economic segments of the community
  • Must present a professional image and possess conflict resolution skills, and demonstrate sound judgment and initiative
  • Must be highly organized with the ability to work under pressure and handle multiple tasks
  • Must be able to maintain confidentiality of information
  • Proficiency in Microsoft Word, Excel, PowerPoint, and other software programs, as well as the ability to use most office equipment is required
  • Ability to work a flexible schedule, including evenings and weekends
  • Minimum 18 years of age
  • 1-2 years of administrative experience

Required Certifications

  • Before start of 1st shift: New Hire Orientation training
  • Before first shift: successfully complete Ellis & Associates International Lifeguard Training Program Instructor Training and obtain/maintain Ellis & Associates Instructor / Instructor Trainer license.
  • Within six months of hire: YMCA P.O.O.L./CPO
Compensation/Benefits: 

Salary: $30,067.20 - $37,584.00
