To that end, s/he is a culture leader of the region, creating a strong staff culture that leads to joy, partnership, and collaboration.
Internal Office Operations and Systems (60%)
- Office Operations
- Creating and maintaining superb office systems that are efficient, equitable, and empowering; s/he will also consistently reevaluate systems to ensure maximum impact
- Create and maintain a master calendar and regional dashboard to communicate events and progress to goals across various functional teams
- Provide exceptional customer service and leadership on-site to callers and visitors, external partners, local vendors, and staff
- Welcome all visitors to the office – both National and local partners – with hospitality, logistical support, and key information on our region
- Maintain office technology, space and resources; this includes maintaining office organization and appearance, ordering and tracking office supplies and equipment, stocking inventory, delivering mail, and transporting packages
- Event Planning and Management
- Overseeing and executing on internal events, including office events, retreats, staff holiday party, recruitment events, and maintaining office space (reserving rooms, etc)
- Provides project coverage and operational support as needed (ex: support with Induction, CM holiday party, Back to School BBQ)
- Hiring & Onboarding Support
- Maintain systems for tracking internal recruiting and hiring, including scheduling, making dashboard reports and contributing to other hiring efforts (could include conducting first review of applications and candidate communication for both full time and part time staff)
- Conduct first review and phone screens for all full time positions
- Budget Tracking
- Maintain a responsible regional budgeting process by partnering with teams on past and future expenses, ensuring all functions are in compliance, paying bills, processing checks, and track staff expenditures
- Build our annual budget in partnership with Functional Team Leaders
- Serve as a Regional Buyer, completing check requests and purchase orders
Internal Policies (15%)
- Uses office trends and other external resources to spearhead the maintenance (and at times, the creation, implementation, and revision) of office-wide policies. Examples include but are not limited to: dress code, office hours, external event expectations, communication, etc
- Serve as the record keeper, HA liaison, and go-to reference for TFA national and regional policies around employment, benefits, etc
- Works as a liaison with national teams (ex: administrative, technology), ensuring compliance with national systems
- Creates collaborative relationships with diverse regions and teams nationally to be able to highlight best practices, innovations, and strategies from across Teach For America to integrate into the Nashville region.
- Creates collaborative relationships with diverse organizations in Nashville to be able to highlight best practices, partnership opportunities, and strategies that will benefit the Teach For America Nashville staff and team operations
Staff Culture Leader (10%)
- Cultivate a strong office culture through office environment, programming, and by thinking through opportunities for cross-functional collaboration.
- Works with Managing Director, Strategy, Talent & Operations and leadership team in development and execution of regional staff culture vision
- Facilitate a strong team culture through the design and execution of staff and office-wide initiatives, communication, decorating, and branding
Regional and Organizational Stewardship (15%)
- Support team-wide priorities for Greater Nashville and organizational-wide initiatives. Examples include:
- Participating in staff committees and task forces
- Corps member recruitment, admissions, and matriculation
- Team meetings and professional development
- Regional events and programming (such as staff retreats and end-of-year celebration)
Prior Experience
- 1+ years professional experience preferred
- Experience in Operations or Human Assets/Resources preferred
