The Finance and Operations Coordinator will work as part of a team within the South Carolina Chapter performing and coordinating tasks related to operations support, financial/accounting support, purchasing/procurement/expense activities, cash receipting, conservation administrative duties, and day to day administrative support of the office.
The Finance and Operations Coordinator will work towards meeting the strategic priorities of the Chapter by implementing tactics for approved plans and completing day-to-day tasks and activities. The Finance and Operations Coordinator will perform Finance, Accounting, Administrative, and Information Technology tasks, including assisting in preparing annual Chapter budget forecasts and annual budgets, preparing and monitoring monthly project budget to actual reports, cash receipting and deposits, auditing and approving expense reports and vendor requests, and acting as additional on-site support to the Technology and Information System Manager. They will perform administrative support for conservation including administer hunt and timber leases, property tax management, and administrative support for signature preserves. They are well versed in the systems and resources utilized by the team in order to execute assigned tasks. They will maintain, track and research data, produce and review reports, and perform program analysis. The Finance and Operations Coordinator will provide guidance in satisfying administrative requirements based on extensive knowledge of policies and procedures. They will provide support and targeted training related to compliance, operations and administration. The Finance and Operations Coordinator will communicate with staff in various programs across the Conservancy; as well as with donors, volunteers, vendors, and business relations. They will communicate or distribute information to assist staff in making decisions, solving problems, and improving workflow.
RESPONSIBILITIES AND SCOPE
- Assists with annual budget development, mid-year annual budget forecast, and monthly budget monitoring and analysis.
- Cash receipting, including, but not limited to processing checks, entering batch information, and bank deposits.
- Audit and approve vendor payment requests, and staff expense reports.
- Help ensure integrity of financial statements and general ledger accounts.
- Vehicle record keeping including maintaining mileage logs, maintenance records, title files and registrations.
- Support for conservation programs to include, but not limited to administration of hunt and timber leases, property tax management for Conservancy-owned land, administrative support for signature preserves, easement monitoring administrative support.
- Principal contact with The Nature Conservancy’s insurance agents, maintaining up to date list of insured assets, processing claims, and serving as resource to field offices on insurance-related matters.
- Acts as a “key user” for the Mt. Pleasant office, providing computer support as needed under the direction of the Technology and Information System Manager.
- Principal contact for purposes of emergency preparedness and maintaining up-to-date emergency plans.
- Office management duties.
- Perform non-routine analysis, research and follow-through;
- Act independently on assigned tasks and exercise independent judgment based on analysis and experience.
- Coordinate projects with several variables, work within a defined timeline and budget.
- Demonstrate sensitivity in handling confidential information.
- Ensure compliance with TNC policies and procedures, and external (donor/legal/IRS) requirements.
- Travel and work flexible hours as needed.
- Reinforces consistency in the organization's policies and procedures and provides support related to relevant field
- Experience coordinating administrative processes;
- Experience generating reports and interpreting data;
- Experience in business writing, editing, and proofreading;

DESIRED QUALIFICATIONS
- Demonstrated experience in accounting principles, and budgeting, preferably fund accounting.
- Ability to analyze information for the purpose of coordinating and planning activities, and solving problems;
- Ability to use existing technology to achieve desired results; Experience with Excel and Access.
- Excellent customer service skills and focus;
- Experience interpreting guidelines to achieve desired results;
- Strong organization skills, accuracy, and attention to detail.
