The Senior Customer Account Specialist is responsible for importing and exporting data from our point of sales systems which may include but is not limited to billing, printing rosters for programs, managing accounts receivables and collecting on past accounts including third party billing and receiving. The incumbent also maintains records, files and cash receipts; prepares daily deposits, documents and reports; communicates with members, participants, and team members; and other general office work.
Areas of Responsibility:
- Provide premier customer service to members, participants, and YMCA team members.
- Provide reports and administrative support to branch, department, or program area which may include training related to member accounts.
- Manage accounts receivable and collection efforts for the Association.
- Identify and notify customers of delinquent accounts by mail, telephone, or through site staff to solicit payment; post payment to customer’s account when received; prepare statements to credit department if customer fails to respond; initiate service discontinuation and keep records of collection and status of accounts.
- Act as liaison with county and other third party agencies for all child care programs and camps.
- Prepare and maintain program enrollment reports, rosters, agendas, schedules, and financial reports.
- Supply information to members and program participants over the phone and via e-mail regarding the branches/camps, departments, or programs to include complex account recreations.
- Process Personal Pricing (financial assistance) for child care families.
- File various documents.
Skills/Experience:
- Minimum of two (2) years customer service experience
- Demonstrated data processing skills
- Ability to work independently and multi-task
- Ability to process a large volume of work
- Knowledge and skills in Microsoft Office, Word, Excel, and Outlook
- Must be organized and have strong attention to detail
- Ability to communicate with a diverse clientele and team members
- Excellent written and interpersonal communication skills
- Ability to make decisions, set priorities, and work as a team
- Ability to work with complex accounts and highly confidential information
- Ability to work effectively in a fast paced, deadline driven environment
Preferred:
- Bilingual (Spanish, Russian, Somali and Hmong)
- Experience in collections and working with county agencies
- Experience with web site administration
Work Conditions:
- Must be able to work on a computer for extended periods of time.
- Must be able to travel locally for frequent meetings.
- This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
- While performing the duties of this job, the employee is regularly required to talk or hear.
Compensation/Benefits:
Hourly: $16.00 - $19.00
