The Pennsylvania State Alliance of YMCA’s located in Harrisburg, PA, seeks a highly motivated, organized and dedicated individual who can work independently, be thoughtful and sensitive to our YMCA teams across the state, and remain focused on the Y mission.

Under the supervision of the CEO, this position will be responsible for providing support to a professional staff of up to 4, to ensure an orderly flow of information throughout the office. The ability to handle several priorities at a time, and maintain all files and records is extremely important. Be the initial point of contact with visitors, donors and others and support clear, timely, and professional communication on the telephone, through email and other forms of communication as needed.

Areas of Responsibility: 
  • Support executives and staff with general operational tasks; schedule travel arrangements and assist with calendar management by sending calendar reminders of upcoming appointments
  • Perform general accounting and bookkeeping duties; ensuring AP/ARare properly managed, scanned processed and filed
  • Plan and schedule meetings, presentations and other organizational or office events; taking minutes appropriately and following up with attendees
  • Answer and direct calls to appropriate staff  in a professional manner; taking detailed messages when appropriate
  • Assist with general office management; distribute mail and packages, assist visitors and answer questions
  • Monitor and maintain office equipment; repair or replace malfunctioning equipment and hire technicians when required
  • Office supply management; including ordering and restocking supplies for general facility and office. Responsible for monitoring and operating within monthly budget for office supplies.
  • Complete filing and office organization as necessary; suggest changes to office task workflow to improve efficiency
  • Build relationships while exemplifying the core values of the organization; caring, honesty, respect and responsibilities
  • Maintain a professional demeanor in all situation and manage confidential information
  • Represent the YMCA at special events and promotions if applicable; participating in special project coordination as needed
  • Follow the policies and procedures of the organization as designated by the YMCA, CEO and/or Designee
  • Perform all other professional duties as assigned by CEO, and/or Designee
Educational Background: 
High school diploma or GED equivalent required; associate or bachelor degree in administrative office management preferred
Skills/Experience: 
  • 5 years of experience as an administrative assistant
  • Fast, proficient and accurate typing skills
  • Proficiency with computers/software/Office 365; Outstanding communicator, both orally and written
  • Self-starter who works well independently
  • Ability to prioritize given tasks and work efficiently towards completing them
  • Familiar with common office equipment (telephones, printers, copiers, etc.)
  • Detail-oriented and exceptional organizational skills
  • Strong problem solver and critical thinker
  • Professional demeanor and manner.
Compensation/Benefits: 

Salary: $35,000.00 - $45,000.00
