Teach For America Miami-Dade seeks a driven, high-performing individual interested in learning about and meaningfully contributing to the mission and vision of Teach For America Miami-Dade in the 2019-2020 school year through the one-year Residency as a Senior Associate, Special Projects (“Special Projects Resident”).

The Special Projects Resident will position the Miami-Dade region for success by providing critical planning, execution, and administrative support to the Institutional Advancement & Operations team and the Program Continuum team. The Special Projects Resident will organize, prioritize and track projects and tasks; possess exceptional attention to detail; have a high bar for quality; and work across internal functional teams to ensure that TFA Miami-Dade excels. As a result of the Resident’s impeccable attention to detail, love for behind-the-scenes work, organizational prowess and ability to get things done, the Resident will have a significant impact on our region’s ability to work efficiently and contribute to a positive, inclusive office culture. The Special Projects Resident will make the Miami-Dade office - home to 21 team members - a welcoming and well-run space for our network and ensure operations run smoothly across the region.

This is an exciting opportunity for someone who is looking to understand the inner workings of a national, dynamic and successful nonprofit organization. You will learn, hone, and master key operational skills such as project management, event planning, and facilities management while learning from TFA Miami’s leaders. This 12-month position is based in Miami and the Special Projects Resident will report to the Managing Director, Strategy, Talent, & Operations.

Areas of Responsibility: 

The Senior Associate, Special Projects must possess:

  • Ability to organize and prioritize several projects simultaneously. You have exceptional attention to detail, create and maintain organizational systems for yourself and others, and “close the loop” on all work assigned.
  • Ability to communicate clearly and comprehensively, particularly in writing. You can clearly articulate necessary context, purpose, rationale, action items, etc. in a way that recipients can engage with easily and effectively.
  • Ability to learn quickly and incorporate feedback to meet outcomes. You have a unique ability to develop new knowledge and skills to hit the grounds running in a limited time. You operate with curiosity and consider new ideas shared with you. You can easily let go of the way you do things and the way we’ve always done things to pursue new ways of achieving the desired impact of your work.

You are proactively proposing and executing ideas to enhance your work, planning for potential challenges that may or may not ever arise, and jump in and quickly take on new work when its urgent.

Primary Responsibilities for the Senior Associate, Special Projects include: 

Office and Finance Operations (40%)

  • Support office operations by developing systems that maximize efficiency for all staff members
  • Support facilities management leading to enhanced brand identity, productivity, and staff satisfaction, including maintenance of office technology and efficient use of office space and resources. This includes managing inventory, lifting and transporting up to 30 pounds and stocking all supply areas
  • Support and maintain a welcoming office space and environment for the Miami-Dade network, ensuring high-quality customer service for corps members, external parties, and internal team members
  • Support, execute, and develop systems, track deadlines, and manage calendars to maximize the efficiency and effectiveness of team members
  • Support team-wide finance operations, develop finance systems and trainings, and work toward and track compliance-related goals

Regional Team Responsibilities (40%)

  • Play an important support role in team-wide efforts, inclusive of administrative support to long-term projects, such as regional Summer Institute as well as regular administrative support and preparation for events and meetings, inclusive of set up, catering, materials/deliverables  preparation, and event tear down
  • Support staff and broader TFA network, ensuring they have the necessary materials and resources to operate effectively at the office and at TFA events, with the goal of creating greater impact and efficiencies
  • Support event logistics across our team, including school visits and donor events, corps member and alumni programming, and other high stakes engagements
  • Supporting the development and preparation of proposals, and other written correspondence

Executive Support Duties (20%)

  • Ensure that our executive team is well-supported and operating at maximum efficiency
  • Provide exemplary administrative support to the executive team including scheduling meetings and conference calls, and securing necessary resources and information
  • Support in preparation for quarterly board meetings
Educational Background: 
Bachelor’s degree
Skills/Experience: 
  • Proficiency with MS Outlook, Word, PowerPoint, Excel, Google Docs
  • Ability to learn new software applications quickly
  • Natural self-starter who can anticipate opportunities and challenges before they arise
  • Impeccable organization skills, close attention to detail, creates and maintains organizational systems for others
  • Confident in collaborating with others and building relationships
  • Exceptional customer service ethic, can handle confidential information, and interface with high profile executives
  • Strong written, verbal, and interpersonal communication skills
  • Ability to work effectively in a fast-paced, deadline-driven environment, prioritizing and juggling several projects simultaneously with a spirit of flexibility in order to meet deadlines and achieve results
  • Enthusiastic for the “behind the scenes” work of positioning an executive leader to successfully meet goals
  • Alignment with and understanding of Teach For America's core values and commitment to diversity, equity and inclusiveness
  • Orientation to problem-solving and action, and relentless goal orientation; willing to jump in and quickly take on work when urgent needs arise

Work Demands

  • Ability to work evenings and weekends, as needed
  • Special Projects Resident will be on-site in the Miami-Dade office to manage day-to-day operations
