The Analyst for MNCA Executive Director will provide direct administrative and project support mainly to the Executive Director or more directors within a business unit. 

Areas of Responsibility: 

The Analyst for MNCA Executive Director will use available systems and resources to track and research data, and produce and review reports/documents. S/he will take part of the implementation team of specific projects to support their development. S/he will acquire good knowledge of the Unit’s and organization’s scopes of work and take a proactive role in contributing to strategy through specific initiatives with conservation outcomes. The Executive Assistant must be eager to learn and grow within the organization.  

The Analyst for MNCA Executive Director will be responsible for a variety of administrative support tasks, which may include travel arrangements, calendar management and processing expenses. S/he will communicate on behalf of his/her supervisor with staff in various programs across the Conservancy, as well as with donors, vendors, and business relations. S/he will provide other staffs with information they need to make decisions and to solve problems, and to assist workflow throughout the organization. S/he will coordinate activities with multiple variables, setting realistic deadlines and managing the timeline.

The Analyst for MNCA Executive Director will assist with the scheduling and logistics of meetings and important special events.

Some activities/responsibilities are highly confidential, hence the candidate chosen must maintain confidentiality and will need to acquire strong knowledge of TNC's policies, procedures and operations. The candidate chosen must also be a good communicator and team player, who can be firm but diplomatic and polite in representing the Regional Director requirements to other staff and programs

RESPONSIBILITIES AND SCOPE

  • Does not supervise any staff, but may supervise volunteers, interns, or temporary staff;
  • Perform duties under general supervision and established guidelines;
  • Perform a range of operational/administrative tasks such as logistics, and contract management
  • Identify routine problems and utilize existing resources for resolution, referring difficult questions to supervisor;
  • Takes proactive role in contributing to Unit’s strategy.
  • Make day-to-day decisions within the scope of work assignments and prioritize work independently;
  • Demonstrate sensitivity in handling confidential information;
  • Work overtime as needed
  • Work environment involves only infrequent exposure to disagreeable elements and physical exertion and/or strain.
  • Ensures compliance with TNC internal policies and external requirements
  • Provides support for budget and financial reports for Exec Director
  • Updates data bases related to internal MNCA coordination
  • Actively participates in committees (sustainability, health & safety)
  • Coordinates internal communication within MNCA, sets up meetings, agenda, and follows up agreements
  • Acts as liason with marketing & communication team
  • Provides support during strategic planning processes
Educational Background: 
Bachelor’s degree and 2 year experience or equivalent combination in similar positions
Skills/Experience: 
  • Fluent Spanish and working proficiency in English.
  • Experience organizing time and managing diverse activities to meet deadlines;
  • Experience working and communicating with a wide range of people;
  • Experience in business writing, ie ability to summarize and convey key messages
  • Availability to travel within the region 3 – 4 times per year

DESIRED QUALIFICATIONS

  • Multi-cultural or cross cultural experiences are appreciated;
  • Experience working in NGOs, academic centers or international organizations is appreciated
  • Clear competencies in team work and ability to work under pressure
  • Proactive profile eager to learn and grow. 
  • Strong organizational and planning skills, and attention to detail.
  • Ability to analyze information and communicate with team to coordinate activities and solve problems;
  • Experience working with donors and/or all levels of staff; in-person and virtually.
