We are seeking a part-time employee to support the Memphis Development & Program Operations (DPO) team. This individual will provide critical operational and administrative support for AmeriCorps and other grant compliance, corps member licensure, regional budget operations, regional events, and other special projects as necessary. The ideal candidate is incredibly detail-oriented, has creative problem-solving skills, operates with a customer-service approach to working with colleagues and external partners, and thrives while working under tight deadlines.

Areas of Responsibility: 

The Coordinator, Participant Operations will be tasked with, but not limited to, the following responsibilities:
 
AmeriCorps & Grant Compliance – 25%
Support the Manager, Participant Operations with AmeriCorps and grant compliance work, including:

  • Tracking and filing essential documentation, including all background and FBI fingerprint checks for incoming corps members
  • Managing the enrollment and exit process for corps members in eGrants
  • Providing other ongoing AmeriCorps- and grant-related project support

 Licensure – 25%
Support the Director, Licensure & Talent with our corps member licensure systems, including:

  • Processing initial license applications and coordinating with corps members to ensure licenses are issued on-time and accurately
  • Coordinating transcript collection, tracking and filing for all incoming corps members
  • Managing end-of-year licensure procedures with external partners, including document preparation, communication, tracking and follow up on required documentation
  • Providing other ongoing licensure-related project support  

Budget Operations – 25%
Support the Manager, Participant Operations with regional budget operations by:

  • Creating all corporate AmEx reports and personal staff member reimbursements for team members at the Managing Director level and above
  • Supporting with other budget processes

 Special Projects – 25%

  • Supporting documentation needs related to school partnerships, corps member eligibility, etc.
  • Assisting with ongoing development projects
  • Supporting operations preparations for regional events, such as Summits
  • Any additional special projects as needed by the Memphis regional team
Educational Background: 
Some college or high school diploma with experience required
Skills/Experience: 
  • Strong customer service skills with quick response times, strong written communication, and consistent follow through
  • Detail-oriented with outstanding organizational and time management skills, including the ability to juggle several projects at once with a spirit of flexibility and a positive outlook
  • Capable of working independently while completing tasks efficiently, reliably and accurately
  • Experience effectively “managing up” to resolve questions and gather the information and resources needed to execute your responsibilities
  • Maturity to handle personal information with discretion
  • Thrive in "behind-the-scenes" roles
  • The ability to work some nights and weekends

 Technical Skills

  • Proficiency in Microsoft Office, including Word, Excel and Outlook required
  • Comfort working with data, including data input, creating reports, and analyzing trends
  • Knowledge of using Google Docs, Sheets and Sites is required; proficiency preferred
  • Working knowledge of common office procedures and equipment preferred

Education and Experience

  • Professional experience is highly preferred; previous support experience preferred but not required
