Under the supervision of the Executive Director, the Associate Executive Director is responsible for managing all aspects of the Healthy Lifestyles, Aquatics, Youth & Family and Membership programs. The scope of responsibility includes management of these programs working with staff, volunteers, and members within the policies and procedures set forth by the YMCA of Metropolitan Los Angeles. This position is a senior member of the branch management team.

Areas of Responsibility: 

Budget & Fiscal Stewardship

  • Oversee development of budgets, and manage approved budgets accordingly.
  • Work closely with program directors to reach monthly, quarterly and annual budget goals.
  • Submit variance reports monthly to Executive Director. Manage forecasts to meet operating plan.
  • Ensure that all program directors have the skills necessary to manage their own budget, variance reports and forecasts.
  • Oversee department spending and obtain authorization accordingly.
  • Meets agreed upon performance standards.

 Staff Supervision and Development, HR, Risk & Safety, Wage and Hour

  • Develop systems for measuring levels of productivity within departments. Provide leadership to affect change and raise the quality of service provided to member constituency.
  • Perform frequent observation of programs and act as a resource to supervisory staff.
  • Provide direct supervision to each of the program directors assigned to the various programs provided within the department.
  • Ensure all new employees participate in the New Employee Orientation and Child Abuse Prevention Training within 30 days of hire.
  • Provide indirect supervision and leadership to all staff associated with community programs. Actively support leadership staff in each program area, and create opportunities for staff development.
  • Evaluate staff performance annually, providing coaching and feedback.
  • Provide training for staff on an on-going basis through staff meetings, personal consultation, special courses and workshops. Document training records accordingly.
  • Maintain current and up-to-date records for all staff.
  • Communicate effectively with all levels of staff and volunteers.
  • Ensure employees reflect the YMCA's values of diversity.

 Program Development

  • Lead the branch management team to set the pace for successfully executing the Strategic Plan. Provide leadership in providing continued direction for positioning the branch to be successful in its outreach into the community.
  • Provide leadership to program directors with regards to managing programs and facilities in order to meet operating plans.
  • Maintain a high level of quality programs and services and articulate expectations to staff clearly and consistently.
  • Establish and meet annual goals and objectives for all program areas within the branch
  • Evaluate the effectiveness of programs and adjust program offerings accordingly. Implement new programs as needed.
  • Review and evaluate community programs, services and enrollments and reports findings to Executive Director.
  • Implement and maintain active parent/participant committees in key program areas.
  • Ensure that the Six Pillars of Character and developmental assets tools are implemented throughout the entire department and recognizable in all programs.
  • Ensure that required programs meet all state and federal licensing guidelines and that all necessary licenses and accreditations are acquired and maintained.
  • Maintain commitment to safety through regularly scheduled and documented off-site safety inspections.

 Financial Development, Fundraising and Committee development

  • Develop a volunteer team to lead a successful Annual Giving Fundraising Campaign.
  • Work with staff and volunteers to support 5 Divisions for Community Teams recruitment and financial goals.
  • Identify and cultivate major donors for all levels of fundraising including major gifts, sponsorships and capital.
  • Acquire and manage grants in an accurate and timely manner. Prepare and submit reports and documentation as required. Ensure that all necessary staff have the skills and information to manage grants effectively.

 Community Engagement & Development

  • Manage growth in the number of volunteers and the number of volunteer opportunities available within the department.
  • Coordinate effective cultivation and solicitation strategies with the Executive Director, campaign leadership, volunteers and the Board. Initiate scheduling of donors and key staff and volunteers.
  • Ensure accurate and consistent tracking of member and volunteer involvement on a regular basis.
  • Assist the Executive Director in the identification and cultivation of board members and committees members.
  • Develop strong relationships with the volunteers and act as a liaison in motivating, recognizing and engaging them in the branch operations.                               
  • Develop a strong Y presence in the community forming professional relationships with key community leaders. Research and develop satellite prospects for program growth within community.
  • Participate in branch and corporate functions including staff retreats, board of management meetings, fundraising events, recognition events and program and membership drives.
  • Represent the YMCA in the local community, attends local organizing meetings.
  • Serve on various internal and external committees.
  • Participate in required Branch and Association meetings and events.
  • Commit to the goals and work of the total Association and Branch.
  • Promotes and represents the Mission and Core Values of the YMCA.

Educational Background: 
Must have a Bachelor's degree in Recreation, Physical Education, Parks Administration, or related field.
Skills/Experience: 
  • Preferred candidate will have five (5) years of experience developing and implementing programs and activities, three (3) years of which were in a supervisory/leadership capacity. One (1) year of additional experience may substitute for one (1) year of the required education up to a maximum of four (4) years.
  • National ACE
  • Minimum of five (5) years of management experience (YMCA Program Director, preferred).
  • Strong skills in fitness and membership program management, staff supervision and development, fiscal management, volunteer development, member involvement, and special events.
  • Knowledge and experience required for the management of staff, programs, resources, grants, budgets and schedules of the department.
  • Strong communication and organizational skills are required.
  • Ability to relate to staff and the community.
  • Visual and auditory ability to respond to critical incidents and the physical ability to act swiftly in an emergency.
  • Ability to establish and maintain harmonious relationships with staff, co-workers, volunteers, members and the general public.
  • This position requires availability during evenings and weekends and the flexibility to work other hours as needed.
Compensation/Benefits: 

Salary: $75,000.00
