Responsible for the efficient administration and processing of bi-weekly payroll and reporting requirements, assist with monthly closings, reconciling employee benefits for billing and allocations, payroll reporting, administer accounts receivables, managing the finances of the Mass Alliance operations, and other special projects while always keeping the integrity of the Association by maintaining a high level of discretion and confidentiality at all times. The position will help ensure that finance processes, procedures and internal controls are effective and efficient. The Payroll and Finance Manager will help champion a culture of service excellence and support and advocate the mission and values of the YMCA.
- Processing all appropriate payroll data to ensure all information is up to date in relevant systems.
- Preparation of benefit carrier invoices/statement reconciliation and ensuring that invoices are paid in a timely manner.
- Processing payroll and providing timely and accurate financial reporting.
- Work with staff to ensure that payroll and accounting systems provide accurate information.
- Serve as a resource to staff who have concerns or questions regarding payroll.
- Administer the processing of accounts receivable.
- Training managers/supervisors in proper payroll procedures to ensure employees timekeeping records are processed accurately and on a timely regular basis.
- Coordinating 403(B) plan enrollment and ensure enrollment documents are completed on time and accurately to allow for timely Yerdi administration.
- Ensuring that federal and state taxes are reported and paid correctly through applicable payroll systems to support legislative compliance
- Responding to all federal and state agency requests for compliance documentation (wage orders, garnishments, tax levies, etc) to ensure compliance with all agencies.
- Monitors unemployment billing.
- Responds to wage verification requests.
- Research for special projects related to meeting payroll needs.
- Manages and oversees payroll website design and maintenance.
- Prepares annual salary budget matrixes for all departments; responsible for annual budgeting of other line items such as debt (principal and interest payments), office supplies, admin independent contractors, operating leases, and bad debt expense.
- Is cross trained in accounts payable and serves as a back up to Finance.
- Responsible for monthly accounting for Alliance for MA YMCAs. Inc (501c4) and for the YMCAs of Massachusetts, Inc (501c3) companies (General Ledger (general journal entry creation and posting), Accounts Receivables (billing and collection), Accounts Payable (billing and payment). This also includes monthly reconciliation of balance sheet accounts, agings of Accounts Receivables and Payables, monthly Financial Statement preparation (balance sheet, profit and loss, budget comparisons, statement of cash flows) and writing Executive Narratives for discussion with Executive Director in preparation of board distribution. Duties also include preparation of annual budgets with Executive Director and for assisting in annual audits and preparation of 990s and other government filings.
- Responsible for annual workers’ compensation and liability insurance renewals working closely with independent broker.
- Special projects and assignments to assist the CFO/Finance Department.
- Advanced skills in Excel.
- Expertise with Payroll systems is desired.
- Proficiency in Microsoft Office Suite.
- Strong organizational skills with attention to detail.
- Ability to work well within a team environment with staff at all levels.
- Ability to maintain strict confidentiality.
- Solid analytical and technical skills, as well as oral and written communication skills.
- Considerable knowledge of budgetary, accounting and reporting systems is preferred.
- Experience in a nonprofit environment preferred.
Salary: $50,000.00
