Under the direction of the Executive Director, the Membership Coordinator will be responsible for all aspects of the membership department at the Heinrich YMCA. This position will support and supervise the day-to-day operations of the membership department which includes leading a vibrant staff team of eight, ensuring high-quality service is provided to all members, along with accurate membership/program processing. Candidate must be organized, have strong time management skills and excel in listening, empathizing, making connections with members and the Heinrich Y community. The Membership Coordinator must have a flexible schedule and be willing to work nights and weekends. This position plays a key role in the success of membership as a whole and leads all efforts pertaining to selling, onboarding and retaining members while connecting them to small communities throughout the Y.

Areas of Responsibility: 
  • Be an active team member. Work to assist in helping the membership team reach its goals of membership sales and service. Take initiative to implement strategies to increase sales and retention.
  • Identify, document and solve problems that will assist the membership department to become more efficient and member friendly.
  • Evaluate membership revenue and expenses on a weekly basis. Ensure staff adherence to the Y’s Standard Operating Procedure Manual used for processing Daxko transactions.
  • Makes self-available to handle member and parent questions or concerns in an effective customer-friendly manner at all times. Follow through on all tasks undertaken.
  • Processes membership cancellations, freezes, refunds and credit card return drafts, in a timely manner and according to YMCA policy.
  • Hires, trains, evaluates and supervises non-exempt membership and volunteer staff in their respective duties; and the reviews effectiveness of employee performance. Reports job-related concerns with employees, volunteers, members or co-workers to supervisor.
  • Prepares monthly work schedules. Verifies personnel timesheets are accurate. Submits proper paperwork to the Payroll/Human Resource Department for changes in employee status.
  • Attends team, cabinet, and one-on-one meetings. Holds monthly department meetings with front desk personnel. Communicates membership and program information to staff, members and other departments in a timely manner.
  • Administers monthly member surveys, reports findings to Executive Director. Prepares reports as requested by supervisor.
  • Continually build relationships and make new connections with businesses within our surrounding community. Attends community events (minimum 1 per month), completes grassroots efforts weekly, and creates a quarterly grassroots calendar to promote Y membership in the community.
  • Performs Manager-On-Duty (16+ hours/week ), providing facility tours to prospective members, accurately and effectively describes the value and benefits of Y membership then enrolls in membership and programs.
  • Interpret policies and procedures to members as determined by the relevant program directors. Understand and have working knowledge of all functions and programs of the Heinrich YMCA.
  • Promotes character development with members and staff.
  • Serve as back up for the member service desk when necessary to complete transactions
  • Performs all other duties as assigned.

SUPERVISORY RESPONSIBILITIES: 

  • Directly supervises 8plus employees. Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws.
  • Responsibilities include interviewing, hiring, training, and retaining employees; planning, assigning, and directing work; appraising performance; rewarding and coaching employees; addressing complaints, resolving problems and reporting observations to the Senior Program Director.
  • Demonstrates enthusiasm in all areas of work. Maintains frequent positive communication with staff and works cooperatively with others.
  • Ensures department is properly staffed, equipped and well informed.
  • Ensures all assigned staff complete necessary paperwork in a timely manner, monitors their payroll and adheres to human resources responsibilities.
Educational Background: 
Bachelor's degree from four-year college or university; or a minimum of two years’ related experience; or equivalent combination of education and experience. YMCA experience preferred.
Skills/Experience: 
  • Bi-lingual - English/Spanish strongly preferred.
  • Excellent interpersonal and communication skills to initiate member engagement. Ability to learn and apply Listen First as common practice, to empathize, meet members where they are and work together to connect them to services that meet their needs.
  • Professional demeanor, excellent verbal and written communication skills, and the ability to work well with the public, staff and volunteers.
  • Proven supervisory skills in recruiting, training, evaluating, and motivating staff and volunteers, as well as developing an effective team to carry out vision of the Membership Department.
  • A vision of how to produce positive growth and retention for the Membership Department and the branch in its entirety through the engagement of all membership categories, program participants and outreach efforts.
  • High skill level in organizing, planning, time management and implementation of administrative procedures.
    • Demonstrated ability to be a self-starter and meet goals, objectives and deadlines.
    • Passionate commitment to the YMCA mission and communities we serve.
  • High-level computer literacy and understanding of Microsoft Word, Excel, Publisher, and Outlook.
  • Ability to apply common sense understanding to carry out instructions when furnished and the ability to make decisions in the best interest of the Y and our customers.
  • Ability to work as a positive team player to provide support to membership staff team.
Compensation/Benefits: 

Hourly: $14.00 - $16.50
