The Saginaw Bay Conservation Assistant will provide administrative, research, customer service, organizational and general office and web support to the Saginaw Bay Watershed Conservation team.
The Saginaw Bay Assistant will work on a variety of activities, which may include organizing, maintaining, and tracking files, and databases. Other core duties associated with this role will include:
Maintenance of Web-Based Assets:
- Review and update online resources
- Catalogue project documents in web-based document libraries
- Maintain and build out project websites
- Provide guidance of project content on partner websites
- Maintain and expand project listserv
Customer Service:
- Provide customer service and properly route requests pertaining Saginaw Bay Watershed Conservation Partnership
- Provide technical assistance to partners using the Great Lakes Watershed Management System (GLWMS)
- Conduct site visits to partner locations to assist in GLWMS related tasks
- Document and properly route IT issues that arise with GLWMS and other web-based platforms
Outreach:
- Communicate program information directly to partners and stakeholders across various mediums
- Be responsible for maintaining print materials for project
- Travel to offsite events & other outreach opportunities such as meetings and workshops to represent TNC Saginaw Bay project. This may require long/odd hours to staff informational booth at events.
- Solicit new partnership opportunities
- Maintain and expand project mailing/contact list
Research and Data Collection:
- Assist in literature reviews of key topic areas
- Collect and summarizing various types of data
- Organize meetings and record meeting minutes
- Proof reading activities
- Catalogue water quality monitoring information
RESPONSIBILITIES AND SCOPE
- Does not supervise any staff, but may help plan and direct the work of volunteers or Assistants
- Duties are performed according to instructions or established practices; supervisor will resolve any problems or questions
- Maintain limited financial responsibility, which may include processing invoices or creating travel expense reports
- May purchase equipment and supplies as provided for in budget and in consultation with supervisor
- May serve as a team member for assigned work teams
- Work overtime, as needed
- Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain
- Experience providing administrative support including one or more of the following: phones/customer service, mail distribution, equipment maintenance, or coordinating travel arrangements
- Experience working and communicating with a wide range of people
- Experience writing, editing, and proofreading written materials
- Must be able to obtain related licenses or certifications as required. (e.g. First Aid, CPR, and Drivers License).
