The Executive Coordinator, Conservation will provide direct administrative support to one or more directors within the Michigan Business Unit including the Associate State Director/Director of Conservation and the Director of Government Relations.  S/he will also assist with general operational and programmatic support for Conservation Department program activities.

Areas of Responsibility: 

The Executive Coordinator, Conservation will be responsible for a variety of administrative support tasks, which may include domestic and international travel arrangements, calendar management, answering phones, drafting correspondence and PowerPoint presentations, processing expenses, and assisting with the scheduling and logistics of meetings and special events. For the Associate State Director/Director of Conservation, responsibilities will also include assisting with research requests, special projects, and processing approvals/signatures on various types of documents.  For the Director of Government Relations, responsibilities will include scheduling appointments with legislative staff for Capitol Hill visits, compiling policy briefing packets, entering interactions in the External Affairs database, and generating lobbying reports. Support for the Conservation Department may include workshop and meeting support and maintaining information on the internal intranet site. S/he will use available systems and resources to track and research data and produce and review reports. The Executive Coordinator, Conservation will coordinate activities with multiple variables, setting realistic deadlines and managing the timeline. S/he will apply established processes and practices in order to improve effectiveness. The Executive Coordinator, Conservation will communicate on behalf of their supervisor with staff in various programs across the Conservancy, as well as with donors, vendors, and business relations. S/he will provide other staff with information necessary to make decisions and to solve problems. S/he will perform administrative functions for program as required.

RESPONSIBILITIES AND SCOPE 

  • Does not supervise any staff, but may supervise volunteers, interns, or temporary staff;
  • Perform duties under general supervision and established guidelines; 
  • Demonstrate sensitivity in handling confidential information;
  • Makes purchases, process invoices, contract with vendors, and assist with budget tracking;
  • Identify routine problems and utilize existing resources for resolution, referring difficult questions and problems to supervisor;
  • Make day-to-day decisions within the scope of work assignments and prioritize work independently; 
  • Serve as a team member for assigned projects;
  • Work overtime as needed; and
  • Work environment involves only infrequent exposure to disagreeable elements and physical exertion and/or strain
Educational Background: 
Bachelor’s degree and 1-year experience or equivalent combination;
Skills/Experience: 
  • Experience in business writing, editing, and proofreading;
  • Experience organizing time and managing diverse activities to meet deadlines; and
  • Experience working and communicating with a wide range of people
  • Experience with Microsoft Office suite of software.

DESIRED QUALIFICATIONS

  • Ability to analyze information for the purpose of preparing reports, coordinating activities, and solving problems;
  • Database skills, including managing and tracking data, and producing reports; 
  • Experience working with a board of directors, donors, volunteers, the public, and/or all levels of staff; 
  • Familiarity with federal and state government operating structures;   
  • Strong organizational skills and attention to detail; 
  • Ability to create professional presentations and briefing materials; and/or;
  • Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated.
