OVERVIEW

The Travel Coordinator’s principal duties are to arrange travel for staff and youth residents, and other travelers as needed. This position will gather, collect, record, track and verify data and information from multiple sources related to travel. This position reports to the Quality Assurance Manager.

Areas of Responsibility: 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Schedule and book travel for family reunification;
  • Coordinate Shelter vehicles to meet transportation needs while optimizing use of vehicles;
  • Communicate with staff travelers regarding their travel needs, as well as the travel needs of the youth;
  • Coordinate with hotels, airlines and car services to provide trip itineraries and tickets to travelers in a timely manner;
  • Send airline tickets to travelers (including sending packages visa express mail) where necessary;
  • Schedule, coordinate and organize meeting, conference and departmental travel when requested;
  • Enter information provided by staff into the database and maintain travel database;
  • Coordinate between travelers and airlines for special needs of children and adults, including medical requirements;
  • Negotiate rates including airlines and hotels to provide preferential, frequent traveler pricing and benefits with vendors to minimize shelter travel costs;
  • Generate travel reports, statistics, timelines, tables, graphs, correspondence and any needed travel related document;
  • Create, maintain, and update hard copy trip files for all travel, including review and preparation for audit;
  • Monitor and ensure compliance with USCRI’s Shelter travel policy;
  • Coordinate with Finance department to document all approved travel costs;
  • Perform other job-related duties as assigned by supervisor.

Educational Background: 
High School Diploma
Skills/Experience: 

POSITION REQUIREMENTS

  • High School Diploma or GED with a minimum of two years’ experience booking and coordinating travel or providing other logistical coordination;
  • Proficiency in Microsoft Office required, specifically Excel;
  • Ability to handle multiple tasks simultaneously in a fast-paced environment, set priorities, and work both independently and in a team environment;
  • Exceptional time management, good planning and attention to detail;
  • Ability to identify and resolve problems in a timely manner.
  • Must possess a valid state driver’s license and eligible to drive to facilitate program services as per contractual requirements.
  • Must pass a criminal background, child abuse and neglect registry clearance and other screening requirements including health assessment, TB test and drugs test.
  • Ability to work collaboratively with staff, residents, and others;
  • Ability to evaluate/interpret information and make good and independent judgements or decisions; and
  • Demonstrated support of USCRI’s values by exhibiting respect for others, maintenance of confidential information and an appreciation of a multicultural workplace.

 

TRAINING REQUIREMENTS

  • Satisfactory Completion of USCRI’s Orientation and Training;
  • Satisfactory completion of annual mandatory training; and
  • Complete additional training as identified by supervisor(s), program director or Human Resources.
Compensation/Benefits: 

Salary Commensurate with experience.
