OVERVIEW

The Assistant Administrative is responsible for providing administrative support for Program Director and Assistant Program Director by coordinating administrative functions and projects. This position will coordinate confidential or highly sensitive projects, daily administrative operations of the office, work flow, and meetings; research information, prepare reports and relay information; respond to a variety of inquiries and complaints regarding operations or problems relating to administrative policies based on knowledge of the situation or program or coordinate a response with the appropriate staff member. This position reports to the Program Director.

Areas of Responsibility: 
  • Complete a broad variety of administrative tasks for the Program Director and Assistant Program Director including: managing calendars; screening visitors and callers; completing expense reports; composing and preparing correspondence that is sometimes confidential; managing all signatures; arranging itineraries, and agendas; compiling documents and briefing materials for meetings;
  • Anticipate and solve challenges to ensure the most strategic use of the Program Director and Assistant Program Director’s time;
  • Arrange external events (e.g. fundraising and networking events), records business cards/enters data, and conducts research in advance of meetings;
  • Coordinate all meetings for the Program Director and routine staff meetings, including preparing materials and scheduling. Order refreshments for meetings as needed and adhere to various dietary restrictions. Set up meeting rooms with audio, visual and conference call needs;
  • Work closely and effectively with the Program Director and Assistant Program Director to keep them well informed of upcoming commitments and responsibilities, including key decisions, following up appropriately;
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follows through on projects to successful completion, often with deadlines;
  • Build and maintain relationships with landlords, building maintenance staff, vendors and staff and provide support and solutions to technical and maintenance issues.
  • Serve as primary contact for supply orders, inventory and other procurement support, and monitor receipt of items and organizing invoices for payment and budget reconciliation;
  • Oversee offsite storage management including retrieval, storage, coding, updating and destruction based on retention schedules and approved policy;
  • Report all situations of importance related to risk management and liability to the Program Director and/or Assistant Program Director;

  • Act as a backup coverage for the receptionist; and
  • Perform other job -related duties as assigned by supervisor.

Educational Background: 
High School Diploma
Skills/Experience: 

POSITION REQUIREMENTS

  • High School Diploma or GED required; Associate’s degree is preferred;
  • Minimum of 2 years of experience in an administrative support role is required;
  • Proficiency in Microsoft Office required, specifically Word, Excel and PowerPoint;
  • Must pass a criminal background, child abuse and neglect registry clearance and other screening requirements including health assessment, Tuberculosis test and drugs test;
  • Valid state issued driver’s license and auto insurance is required;
  • Possess or be able to obtain CPR and basic first aid certification;
  • Support all functions that attain and maintain accreditation and compliance with regulatory agencies;
  • Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow;
  • Ability to work on complex projects with general direction and minimal guidance;
  • Ability to work under pressure and remain calm and composed under stressful situations;
  • Ability to work on complex projects with general direction and minimal guidance;
  • Ability to evaluate/interpret information and make good and independent judgements or decisions; and
  • Demonstrated support of USCRI’s values by exhibiting respect for others, maintenance of confidential information and an appreciation of a multicultural workplace.

TRAINING REQUIREMENTS

  • Satisfactory completion of USCRI’s Orientation and Training;
  • Satisfactory completion of annual mandatory training; and
  • Complete additional training as identified by supervisor, Program Director or Human Resources.
Compensation/Benefits: 

Salary is commensurate with experience.
