Under the direction of the Chief Development Officer, the Donor Relations Specialist is responsible for managing pledge processing, data required for accurate grant reporting and reimbursement requests, data integrity, data management and supporting resource development efforts. Primary responsibilities include managing the Association donor, grant and volunteer database (currently Raiser’s Edge/NXT) along with assisting with donor research, implementing and executing a quality filing system, and other administrative support duties as assigned. 

Areas of Responsibility: 
  • Contribute to the overall YMCA mission of healthy living, youth development and social responsibility. 
  • Works with the Chief Development Officer, Director of Development , and Campaign Leaders to ensure daily gift processing, acknowledgements, and related stewardship tasks are completed in support of the association’s fundraising events and programs.
  • Acquires and maintains a sound knowledge and understanding of the Y’s cause and mission, and uses that knowledge and understanding to better articulate the programs and projects for which contributions will be sought.
  • Responsible for fundraising software database (currently Raiser’s Edge & NXT), including general maintenance of data, attending software trainings for updates, troubleshooting reporting and general quality of the data into and out of the software.
  • Works closely with Finance, Business, IT and the administrative team to ensure contribution data is properly classified and that all information going into the fundraising software can be exported and properly posted into the financial system.
  • Offers support and training to users of the fundraising software to ensure understanding of the system, campaign structure and proper procedures for posting gifts and looking up constituents and reports.
  • Communicate with external and internal stakeholders regarding donor inquiries, donor problem resolution and general information requests. 
  • Maintain a successful donor cultivation process proficiently tracking gifts, relationships and moves management in donor database.
  • Compile and analyze information about new and existing contributors to develop/maintain contact list and campaign plans.  
  • Support pledge processing functions including but not limited to printing personalized pledge cards, supporting electronic pledging, preparing campaign envelopes for data entry, and maintaining envelope audit trail from shipping to closure.
  • Process thank you letters, tax receipts, monthly billing, and association acknowledgment and designation reports.
  • Review data for discrepancies, request clarification, initiate corrections/adjustments, and  advise supervisor of issues related to data and performs data verification/error trapping  routines.
  • Prepares downloads for mailings, donor communications, required reporting and data analysis for other departments. 
  • Manage and maintain donor information and communications in a confidential and professional manner.
  • Foster an understanding of philanthropy within the organization
Educational Background: 
Four-year degree from an accredited college or university or an equivalent combination of experience and education.
Skills/Experience: 
  • Three years’ experience in a related field.
  • Demonstrated successful experience in data management and strong numerical aptitude.
  • Demonstrated experience in preparing reports and presenting data in an understandable format.
  • Works effectively with people of different backgrounds, abilities, opinions and perceptions.
  • Able to make independent and sound decisions in a fast paced environment.
  • Able to exercise high levels of discretion and confidentiality. 
  • Detail oriented with good organizational skills, and be multi-task proficient.
  • Must be able to work effectively with strict time lines and manage time effectively.
  • Excellent interpersonal and communication skills to include: telephone, verbal, written, presentation, facilitation and negotiation. 
  • Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint, and Raiser’s Edge software applications preferred.
  • Must have reliable transportation.  Travel around the Greater Kansas City area is required.
  • Experience using Crystal Reports is preferred.
Compensation/Benefits: 

Salary :$36,836.80 - $46,051.20
