Wounded Warrior Project’s (WWP) Event Planning Coordinator is responsible for delivering high-quality project results that provide value to the organization; ensures high levels of satisfaction; meets or exceeds project budget objectives; and pursues opportunities for additional costs savings with regards to event planning needs for warriors and staff; develops, negotiates, and implements efficient event and meeting logistics management and policies, including travel, and accommodations.
Areas of Responsibility:
- Support Programs with regards to meeting logistics, including site selection, rate negotiation, catering, and some on-site support at events
- Work as a team member with registration coordinator and travel coordinator
- Pay close attention to detail, demonstrating accuracy and efficiency in financial reconciliation (process invoices, reconcile billing with accounting)
- Prepare statistical reports
- Allocate time according to budget and checklists
- Immediately adapt to crisis situations, changing procedures, methods, and processes
- Facilitate continuous communication between Travel and Events and all other WWP departments
- Travel and work overtime as needed to attend events and client meetings (may include weekends)
- Other duties as assigned
Educational Background:
Bachelor’s degree in event planning, hospitality, communications, or a related field required
Skills/Experience:
- Foster strong working relationships with warriors and staff
- Able to effectively interact with cross-functional teams
- Must be a team player with a commitment to relationship-building for WWP, both internally and externally
- Exceptional problem-solving and troubleshooting skills
- Strong computer skills to include Microsoft Office software
- Knowledge and experience in registration software such as Cvent
- Demonstrated ability to self-start and work as part of a team
- Must demonstrate a high level of professionalism
- Strong written and verbal communication skills
- Must be detail oriented
- Strong customer service skills (phone, in person, e-mail)
- Must be able to travel, including some weekends
- Strong multi-tasking and time management skills to include managing concurrent tasks efficiently
- Ability to prioritize and handle multiple tasks with attention to general details and specifications
Education & Experience Requirements
- Three (3) years total professional experience required
- Six months experience in event planning environment preferred
