General Summary

The Alzheimer's Association, Mississippi Chapter offers a variety of education, information, advocacy and support services to persons with dementia, their families, health care professionals and the community. Based in the metro Jackson, Mississippi area.

The Administrative Assistant provides key administrative and office support for all staff of the Alzheimer's Association, Mississippi Chapter.

This is a part-time position that will report to the chapter Executive Director.

Essential Job Functions

  • Answering office phones and greeting visitors
  • Receiving/distributing mail and preparing outgoing mail/packages
  • Maintaining inventory of office supplies
  • Assisting with preparation for meetings and Chapter events
  • Processing background checks for all volunteers and facilitators
  • Maintaining volunteer job listings on external websites such as Volunteer Match
  • Coordination of copying, acknowledgement, logging and mailing of deposits for all events, general donations, memorials, grants, etc.
  • Monthly reconciliation of deposit reports
  • Processing of Chapter invoices for Accounts Payable
  • Facilitate purchasing of equipment, permits, licenses or office supplies for the Chapter staff.
  • Work with internal and external vendors for technical, communication, and equipment support and vendor negotiation.
  • Assists with communication and public relations including coordination of community calendar listings of all Chapter programs and events; contribute to Chapter social media presence
  • Overseeing compliance documentation with policies, procedures, and regulations.
  • Oversee bi-weekly updates of Chapter website
  • Proficient use of Association database software
  • Logistical support for the Walk to End Alzheimer's (WEA), The Longest Day (TLD) & other special events
  • Ability to build/maintain content for multiple websites including the Walk to End Alzheimer's, Reason to Hope, The Longest Day and additional websites as needed.
  • Support overall Chapter functional operations, monthly financial reconciliation, donor gift processing and additional duties and responsibilities as assigned by the Executive Director and the Chapter area leadership.
  • Serve as the primary customer service liaison to address participant questions/concerns for special event websites functionality and/or online fundraising.
  • Coordinate logistical needs for three Walk to End Alzheimer's events, The Longest Day and other special events.
  • Act as point person for participant questions/concerns, forwarding questions to appropriate event volunteers or staff as necessary.

     

Minimum Requirements

  • High school diploma required. Two years post-secondary education in a related field preferred.
  • Two years of experience as an administrative assistant, secretary, bookkeeping, office accounting assistant, office manager or similar position.
  • Proficiency with Microsoft Office, including Word, Excel and Powerpoint.
  • Experience in Publisher, Canva or InDesign a plus.
  • Proficiency with email, calendar and contacts using Google Chrome.
  • Proficiency with a constituent database management program. Accurate data entry skills.
  • Excellent writing and proofreading skills.
  • Must be able to communicate effectively with people of diverse backgrounds and ages.
  • Excellent telephone and in person customer service skills.
  • Strong organizational skills and attention to detail.
  • Commitment to the mission of the Alzheimer's Association.
  • Occasional weekend and evening hours required
