The Associate, Development plays a critical role in ensuring that the Development team has the key data and internal systems to operate successfully, helping us to meet critical fundraising and regional goals. This role will manage the logistics of donor-focused school visits and the planning and execution of other donor-facing external events. The Associate will lead team-wide data integrity, maintenance and reporting initiatives, and managing the gift processing system for all four streams of giving (individual, corporate, foundation, and public).
The Associate, Development must have an intrinsic attention to detail, organizational proficiency, knack for learning and building new systems, and a keen desire to explore efficient ways to work with the Development team, the Executive Director, and the broader regional team. The Associate is able to thrive in a fast-paced environment and easily navigate and provide support for multiple projects while maintaining an unwavering eye for accuracy and quality. Additionally, the Associate is interested in a future in Development and the prospect of cultivating and managing relationships with donors. The Associate will report directly to the Managing Director, Development (Head of Development).
Event Planning and Execution (40%)
- Work with the regional team and outside stakeholders to craft vision and timeline for school visits, donor events and board engagements
- Produce and coordinate event timelines, checklist, and project plans
- Develop materials and conduct trainings to prepare event staff and volunteers for seamless event execution
- Manage logistics for inspiring events and school visits including creating and compiling materials, corps members, alumni and speakers, and managing execution of follow-up
- Manage day-of and post-event logistics coordination
- Assist with the analysis of event data and outcomes to ensure continuous improvement
Manage Data, Systems, and Operations (25%)
- Manage team systems and operations, including maintaining the team calendar, tracking actions related to donors or prospects, collecting donor commitments, and processing gifts
- Track, review, and process all revenue received in our region, and act as a regional liaison with our national teams to ensure efficiency and compliance
- Maintain accurate data in Teach For America’s internal constituent management database (TFACT) and communicate with portfolio managers to gather and share the most up-to-date information
- Develop efficient system to collect and organize Teach For America - Indianapolis content and collateral to be used for external audiences
- Work with the Head of Development (HOD) and the Manager, Talent & Operations, to manage the annual team budget, drive the monthly forecasting processes, and help to promote the team’s fiscal responsibility
- Work with the Manager, Talent & Operations to prepare check requests, code regular expenses, and process reimbursements to help drive team-wide compliance
Donor Strategy, Research, and Stewardship (25%)
- Coordinate and conduct ongoing research on new and existing donors to identify motivations and barriers to contributing to our organization and potential levers to deepen their connection to and support of our work
- Share relevant information regarding prospects or current supporters to help portfolio managers prepare for meetings or events
- Prepare and compile materials for use in external meetings
- Coordinate donor mailings and produce high-quality written and visual communications such as follow-up correspondence, gift acknowledgements, grant reports, newsletters, one-pagers, thank you letters etc.
Fulfill our Mission through Organizational and Regional Priorities (10%)
- Participate in our region’s corps member selection, matriculation, induction, and ongoing engagement initiatives
- Attend regional meetings and retreats held throughout the year, biweekly staff meetings, and occasional conferences and trainings
- Prior project management or event planning experience required
- Prior experience with Development and Fundraising preferred, but not required
- Experience working in the Indianapolis education or philanthropic landscape preferred, but not required
Work Demands
- Ability to work evenings and weekends when necessary
- Minimal Travel required – approx. 2-6 times per year
