Under the guidance of the Center Manager, and as a critical role on the Audubon team, the Receptionist/Administrative Assistant is primarily responsible for providing outstanding guest services and is a critical role on the Audubon team. They should be responsible for ensuring clean and stocked facilities for successful operations for the Audubon Center & Sanctuary at Francis Beidler Forest. It is one of Audubon South Carolina’s two centers and receives about 10,000 visitors and 3,000 students annually. It is the goal of Audubon to grow our programs and increase visitation in the coming years. They will serve as the main front receptionist, greeting all individual visitor and groups who walk through the front door, providing excellent customer service to patrons, and ensuring that visitors know about Audubon South Carolina and ways they can become more involved. This individual will also provide support for the financial management of the center including but not limited to: accounts receivables, account payables, and daily data entry of ledger information for the center manager. They will assist with maintaining accurate inventory of Swamp Shop sales and merchandising. The Receptionist/Administrative Assistant will also support Audubon South Carolina’s Development team and assist, as needed, with donation processing and completing administrative functions in support of state operations. Additional responsibilities include mailings, helping to promote Audubon, scheduling events, answering the phone, inputting guest emails and contact information in a centralized database via (Every Action).

This is a full-time opportunity, scheduled for 40 hours per week, Tuesday through Saturday, and occasional Sundays and evenings during busy seasons, and special events.

Areas of Responsibility: 
  • Conduct the daily operations of the visitor center front office: greet visitors, schedule guided walks, kayak and canoe trips, and other programs;
  • Manage the register and point of sales, orient patrons to the facility, its programs, respond to phone calls and inquiries, schedule trips and groups, contribute efforts to   promote and increase visitation numbers, and register   participants for center events;
  • Ensure that educational and informational materials for the public are readily available, keep brochures racks filled and sightings board up-to-date as well as help develop   new content to have on display;
  • Ensure the center is neat and tidy at all times, including helping with meeting room set up and break down, as needed, cleaning restrooms and other public spaces;
  • Complete accounting functions to include accounts receivables and accounts payable, updating ledgers, running and creating financial reports, and preparing deposits;   enter contact information from daily visitors log into Every   Action database and help transition sign-in to online system to support State engagement opportunities;
  • Complete office functions, such as copies for Board meetings, for the Executive Director, as needed;
  • Perform other duties as assigned.
Skills/Experience: 
  • 1-3 years of experience with customer service and office operations required.
  • Excellent customer service and written and verbal communication skills;
  • Personable and a people-oriented team player who is comfortable interacting with a diverse group of individuals;
  • Self-starter, one with attention to detail, strong organizational skills, and ability to juggle multiple projects simultaneously;
  • Friendly, engaging, flexible, with a positive attitude;
  • Proficient in Microsoft Office applications, as well as some knowledge of accounting or sales systems;
  • Commitment to conservation and the mission of the National Audubon Society;
  • Knowledge of the natural history of southern swamps, or the ability and willingness to learn about Audubon South Carolina’s programs statewide;
  • Ability to work flexible hours, if needed, as evenings and weekends will occasionally be required;
  • Sales Force and Every Action experience preferred.
