Under the guidance of the Center Manager and as a critical role on the Audubon team, the Guest Relations Coordinator is responsible for providing outstanding guest services including but not limited to ensuring clean and stocked facilities for successful operations for the Audubon Center & Sanctuary at Francis Beidler Forest. It is one of Audubon South Carolina’s two Centers and receives about 10,000 annual visitors and 3000 students. It is the goal of Audubon to grow our programs to increase visitation in the coming years. S/he will serve as the main front receptionist, greeting all individual visitor and groups who walk through the front door, providing excellent customer service to patrons, and ensuring that visitors know about Audubon South Carolina and ways they can become more involved. The Guest Relations Coordinator will assist with scheduling and leading guided walks. The Guest Relations Coordinator will develop and manage a volunteer program to support Center operations, especially during peak visitation season (fall/spring) and help develop one for State programs in coordination with state conservation teams.
In addition, s/he will provide support with the financial management of the center including accounts receivables and account payables, Swamp Shop sales and merchandising. The Guest Relations Coordinator will also support Audubon South Carolina’s Development team and assist, as needed, with donation processing and completing administrative functions in support of State operations. Additional responsibilities include mailings, helping to promote Audubon, scheduling events, and answering the phone, inputting guest emails and contact information in centralized EveryAction database.
This is a full-time opportunity, scheduled for 40 hours per week including a schedule to include Saturday, Sunday during busy seasons, with evenings occasionally required.
- Conduct the daily operations of the visitor center front office: greet visitors, schedule and lead guided walks and other programs, manage register and point of sales, orient patrons to the facility, its programs, and Audubon South Carolina; respond to phone calls and inquiries; schedule trips and groups; contribute to efforts to promote and increase visitation numbers, and register participants for Center events.
- Coordinate educational and informational materials for the public and ensure they are readily available; keep brochures racks filled and Sightings Board up-to-date. Help develop new content to have on display.
- Maintain and ensure that the center is neat and tidy at all times, including helping with meeting room set up and break down, as needed, cleaning restrooms and other public spaces.
- Complete accounting functions to include accounts receivables and accounts payable, updating ledgers, running and creating financial reports, and preparing and taking deposits.
- Enter contact information from daily visitors log into Every Action database and help transition sign-in to online system to support State engagement opportunities.
- Complete office functions, such as copies for Board meetings, for the Executive Director, as needed.
- Support and assist in identifying, planning, and executing events and projects, as needed.
- Perform other duties as needed for the Center Manager, Center Director, and the Executive Director.
- Minimum of two years related work experience with Customer service and office operations required ideal with conservation experience.
- Excellent customer service and written and verbal communication skills;
- Must be outgoing and people-oriented team player comfortable interacting with a wide variety of individuals.
- A self-starter, one with attention to detail, strong organizational skills, and ability to juggle multiple projects.
- Demonstrated volunteer recruitment, training and management of volunteer program.
- Friendly, engaging, flexible, and a positive attitude.
- Proficient in Microsoft Office applications, as well as some knowledge of accounting or sales systems.
- Demonstrated commitment to conservation and the mission of the National Audubon Society.
- Knowledge of the natural history of southern swamps, or the ability and willingness to learn about Audubon South Carolina’s programs statewide, is also important.
- Ability to work flexible hours, if needed, as evenings and weekends will occasionally be required.
- Sales Force and EveryAction experience preferred.
