Under the guidance of the Center Manager and as a critical role on the Audubon team, theGuest Relations Coordinator is responsible for providing outstanding guest services including but not limited to ensuring clean and stocked facilities for successful operations for the Audubon Center & Sanctuary at Francis Beidler Forest. It is one of Audubon South Carolina’s two Centers and receives about 10,000 annual visitors and 3,000 students. It is the goal of Audubon to grow our programs to increase visitation in the coming years. S/he will serve as the main front receptionist, greeting all individual visitors and groups who walk through the front door, providing excellent customer service to patrons, and ensuring that visitors know about Audubon South Carolina and ways they can become more involved. The Guest Relations Coordinator will provide support with the financial management of the center including accounts receivables and account payables, Swamp Shop sales and merchandising. S/he will also support Audubon South Carolina’s Development team and assist with donation processing and completing administrative functions, as assigned. Additional responsibilities include mailings, helping to promote Audubon, scheduling events, and answering the phone, inputting guest emails and contact information in our centralized EveryAction database.
This is a part-time opportunity, scheduled for 24 hours per week with a regular schedule of Saturday, Sunday and another weekday, with evenings occasionally required.
- Conduct the daily operations of the visitor center front office: greet visitors, manage register and point of sales, orient patrons to the facility, its programs, and Audubon South Carolina; respond to phone calls and inquiries; schedule trips and groups; contribute to efforts to promote and increase visitation numbers, and register participants for Center events.
- Ensure that educational and informational materials for the public are readily available; keep brochures racks filled and Sightings Board up-to-date.
- Ensure that the Center is neat and tidy at all times, including helping with meeting room set up and break down, as needed, cleaning restrooms and other public spaces.
- Complete accounting functions to include accounts receivables and accounts payable, updating ledgers, running and creating financial reports, and preparing and taking deposits.
- Enter contact information from daily visitors log into Every Action database.
- Complete office functions, such as copies for Board meetings, for the Executive Director, as needed.
- Provide assistance with events and projects, as needed.
- Other duties as needed for the Center Manager, Center Director, and the Executive Director.
- Experience with customer service and office operations required.
- Excellent customer service and written and verbal communication skills;
- Must be outgoing people-oriented team player comfortable interacting with a wide variety of individuals.
- A self-starter, one with attention to detail, strong organizational skills, and ability to juggle multiple projects.
- Friendly, engaging, flexible, and a positive attitude.
- Proficient in Microsoft Office applications, as well as some knowledge of accounting or sales systems.
- Demonstrated commitment to conservation and the mission of the National Audubon Society.
- Knowledge of the natural history of southern swamps, or the ability and willingness to learn about Audubon South Carolina’s programs statewide, is also important.
- Ability to occasionally work flexible hours, if needed, as evenings and weekends will occasionally be required.
- Sales Force and EveryAction experience preferred
