Under the direction of the SACC, Sports & Enrichment Director, the Program Coordinator is responsible for the overall operation, development and implementation of programs in the Sussex County YMCA’s Sports and Camp departments and to ensure safe environment in compliance with YMCA best practices. The position is responsible for development, implementation, and growth of sports programming, as well as, staff and budget management, communicating with parents, establishing procedures, and ensuring all programs in their area reflect the YMCA’s commitment to child safety.
- Coordinate all aspects of the Adult Sports Leagues and Tournament programs including promotion and registration, securing officials, securing facilities or fields for play, maintaining score sheets and team/player stats, providing scores to local papers, and recognition of league winners.
- Schedule, promote, and coach Youth Sports Classes, Clinics, and Tournaments. Develop new and innovative programs that promote retention and continued involvement in YMCA programs.
- Coordinate all aspects of Youth Basketball League including program promotion and registration, assigning players to teams, scheduling team practices and games, distributing sport rules and program guidelines, ordering and distributing team t-shirts, scheduling team pictures, and recruitment and recognition of team sponsors.
- Expand youth and adult programs within the branch and community in accordance with strategic and operating plans. Perform any additional duties that may enhance the experience for participants while influencing growth and quality of the programs within the established guidelines of the YMCA.
- Develop and maintain collaborative relationships with community organizations. This includes but is not limited to: recruiting local coaches to partner in programming, meeting community needs for programming and gymnasium use and/or rental, partnering with community facilities for growth or enhancement of future programs and leagues.
- Ensure all sports schedules are up-to-date and correct.
- Ensure a high level of member and participant satisfaction in programs.
- Work with Director to recruit, hire, train, develop, schedule and direct personnel and volunteers as assigned; review and evaluate staff performance; develop strategies to motivate staff and achieve goals – all in accordance with Branch and Association guidelines.
- Process payroll and monitor staff hours and schedules according to the YMCA’s procedures.
- Work with Director to monitor program budget(s) to meet fiscal objectives in accordance with the YMCA’s procedures.
- Direct and supervise program activities to meet YMCA objectives. Adhere to Licensing requirements.
- Assist in Marketing and distribution of information as needed.
- Organize and schedule program registrations through eFinesstri, monitor sign-ups and wait lists, etc. as needed.
- Purchase and monitor necessary sporting equipment according to the YMCA’s procedures.
- Respond to all member and community inquires and complaints in a timely manner.
- Attend all scheduled staff and program meetings. Attend and participate association-wide Quality Team meetings as requested.
- Develop and implement Teen Sports programming that includes but not limited to the operation of Teen Nights and introducing more effective programs to the existing 7th grade schedule.
- Co-supervise all facets of the Branch Summer Camp program. This includes but is not limited to program activities, early bird marketing, camp reunion/open houses, training camp staff, and parent tours and orientations before camp begins.
- Ensure a high quality and safe summer camp program that includes responding to parental concerns and providing a positive environment for campers and staff.
- Co-supervise daily operations of the Summer Y Camps, including Y Sports Camps.
- Direct and supervise front line staff to ensure that they provide general security to the facility, assist with staff and member inquiries, after-hour functions, activate the emergency action plan if necessary, and close the facility when secured.
- Assist and participate in planning special events as requested i.e. Healthy Kids Day, Family events.
- Ensure all assigned strategic objectives are met.
- Minimum of three (3) years of commensurate experience in a supervisory position.
- Minimum of three (3) years of experience in Sports and Recreation, working with league management and coaching.
- Knowledge of fiscal management; ability to understand financial reports including budgetary guidelines and expenditures.
- Experience adhering to Licensing requirements.
- Knowledge of Microsoft Office and outlook.
- Excellent customer service, interpersonal, and communication (written and verbal) skills.
- Strong organizational skills and detail oriented.
- Ability to demonstrate problem-solving and independent judgment and making decisions within the guidelines of the YMCA.
- Ability to relate effectively to diverse groups of people from all social and economic segments of the community.
- Ability to maintain confidentiality.
- Current CPR, First Aid and AED certifications and Completion of YMCA program-specific certifications.
- Must have flexible work schedule.
- Transportation and valid NJ driver’s license is required.
