The Facility Manager primary objective is the continual improvement of the physical campus and its efficient operation to deliver the best academic environment possible.  On a daily basis there will be opportunities to utilize problem solving and interpersonal skills to ensure this primary objective is achieved.  Areas of responsibility include Maintenance, Repair and Improvements, Janitorial, Tenant Management and Security, Health and Safety, and Administrative duties.  

Areas of Responsibility: 

Essential Functions:

The essential duties and responsibilities of this position include, but are not limited to, the following:

Maintenance, Repair, and Improvements:

  • Manage all interior maintenance and repair including any service contracts or volunteer work in the following trades: floors, walls, ceilings, electrical, doors, windows, plumbing, and HVAC including thermostats.   
  • Manage all exterior maintenance and repair including any service contracts or volunteer work on the roof & gutters, parking lot & exterior lighting, landscaping & plant/tree care, irrigation system, pest control, playground and equipment, HVAC equipment, snow removal, etc. 
  • Oversee work of all outside contractors to ensure compliance with contractual agreements, building and fire code, as well as budgetary restrictions.
  • Manage the efficiency of the facility energy and waste to ensure maximum efficiencies whenever possible. 
  • Maintenance and Log of all facility equipment including any lawn mowers, snow blowers, or other service vehicles.
  • Research energy efficiency measures, present finding for consideration. Once approved, execute.
  • Keep maintenance areas organized and clean as well as sheds and closets.
  • Maintain list of service companies and use as needed including emergency 24/7 services on all major trades.
  • Act as Project Manager for all projects on the property
  • Order, Purchase, and track inventory of all supplies for the facility, keeping reserve stock on hand. 
  • Submit the monthly maintenance report and any proposed items of concerns to your supervisor by the first of each month.

Janitorial:

  • Direct oversight and management of the third party Janitorial Contractor including their scope of work, contract or services, and all communications.
  • Direct oversight and execution of Janitorial Schedule for the entire premises interior and exterior to keep the facility in exemplary condition and appearance.
  • Objectives to be completed during the work week and in line with the Janitorial schedule.  Any deviation from the schedule must be communicated along with appropriate scheduling adjustments to your supervisor.
  • Respond to urgent maintenance needs during the school day. 
  • Monitor and provide feedback and guidance to janitorial company. 
  • Shutting down building at end of day including turning out lights and locking doors.

Tenant Management and Security:

  • Actively seek to generate revenue through ancillary or tenant revenue through the use of the facility.
  • To be the primary contact and will execute all facility scheduling of school events, teacher room requests, mentor/mentee room requests, community room requests, and leasing requests.
  • To schedule the facility and issue room cleaning checklists for School events only and ensure it is returned to you completed by the person requesting the room use.  You may update and amend checklist forms as needed.  Maintain a log of all use of the building by filing these checklists in a Facility Use Binder.
  • When renting the facility use the Facility Use Request Form, Facility Use Agreement, Liability and Waivers if needed. 
  • Generate leasing leads to create revenue for the school, field phone and email inquiries from potential tenants and perform all tours to potential tenants.  Maintain a log of your contacts and potential leads.
  • Use the facility use agreement, facility use brochure for this function.

Health and Safety:

  • Manage all environmental concerns on behalf of the school including certifications and licenses: local, state, federal.
  • Manage risk at the school to ensure the safety of personnel and students in their use of the facilities and to maintain appropriate levels of insurance to protect the property and to cover the liability of the school.
  • Conduct a bi-annual review of the Aspen work environment to ensure it is compliant with all local, state, and federal regulations.  
  • Schedule, Oversee, and follow-up on inspections for fire, water suppression system, elevator, and environmental. 
  • Conduct monthly safety review with the Health & Safety Manager of the school playgrounds and all of equipment and apparatus’ the students might be in contact with and log the review in a maintenance log.  
  • Maintain yearly update on Contractor/Supervisor certification for asbestos and maintain asbestos management plan for training and inspections.
  • Act as secondary contact for emergency personnel and city officials when dealing with issues related to the facility, health, or safety of the students, families, staff, administration, and general guests. 

Administrative:

  • Provide strategic plan for functional areas along with a monthly plan of implementation and weekly progress reports.
  • Provide problem solving skills to develop solutions within your functional areas along with solutions for other functional areas as directed. 
  • Serve on the Campus Development Committee (CDC); provide all proposals & strategic plans as needed by CDC.
  • Support school purchasing activities and all internal controls and ensure all budgetary parameters are met.
  • Complete all internal control forms as directed by the Business Office. 
  • Support systems and procedures to manage inventory.

Educational Background: 
· 4 year degree in related industry or field (i.e. Project Management, Construction Management., etc.) OR
· 5 years of construction trade experience – experience in multiple trades is preferred
Skills/Experience: 

Qualifications:

  • Successful track record of facility management greater than 50,000 sq.
  • Professional experience as a project manager.
  • Possess excellent oral and written communication
  • Proficient use of technology and personal computer, including Microsoft Office and internet search engines.
  • Stamina for multiple hours of manual labor and strength to lift 100 lbs. when needed.
  • Demonstrate a relentless drive to improve the minds and lives of students in and out of school
  • Model the school’s core values with colleagues, students, parents, and larger community 
  • Reinforce the school’s core values, guiding philosophy, rules, and school spirit consistently throughout the school environment and support and hold accountable colleagues in doing the same.
  • Grant permission for a criminal background check.
