As a growing, mission focused, and future-oriented association of YMCAs, the Metro YMCA of the Oranges has an exciting opportunity at out East Orange location for a highly motivated, mission-driven, candidate to join our team.

The Business Administrator responsibilities include supporting department directors to achieve enrollment and revenue targets by providing quality customer service and working with the  Director of Marketing and Community Engagement to enhance our visibility in our service area. The incumbent will also be responsible for assisting with budget development and implementation, member services, relationship building, creating procedures and protocols for Welcome Center quality assurance, strategic planning and staff development.

Areas of Responsibility: 
  • Responsible for the administration and operation of the Welcome Center. Create a positive, customer-focused approach with staff by ensuring mission driven hiring, supervision, motivation, training, and performance management.
  • Process payroll for the Welcome Center staff.
  • Responsible for the quality and growth of the facility rentals and party programming.
  • Provide operational support to the Executive Director; assumes responsibility of day-to-day operation in the absence of the Executive Director/Program Director.
  • Work in conjunction with the Director of Marketing and Community Engagement to communicate and promote programs/special events to members and the surrounding community.
  • Ensure that accurate records are kept and budget reports are processed in a timely fashion per Association Services procedures.
  • Assist Executive Director and the Association in creating and maintaining accurate financial reports for grants.
  • Work as needed with Executive Director and department heads on financial reports.
  • Manage the accurate processing of all revenue passing through the branch; including program registration, annual support fundraising, and summer day camp.
  • Oversee and assist with childcare, camp and miscellaneous transactions in appropriate Association computer programs and databases.
  • Maintain registrations for all programs per Association procedures.
  • Review the daily cash reconciliation and end-of-shift work in e-Finesstri.
  • Prepare daily bank deposits and ensure delivery to the bank.
  • Maintain petty cash in accordance with Association and Branch policy.
  • Support Branch Program Directors with program reports and rosters through e-Finesstri.
  • Ensure purchase orders are input and processed in a timely manner in SGA.
  • Ensure branch accounts payable is processed on a weekly basis or as needed; resolve any accounts payable/receivable vendor issues.
  • Responsible for monthly credit card reconciliation/ monitor monthly expenses.
  • Monitor and maintain office supplies and equipment. 
  • Travel independently within the community to attend various meetings and trainings.
  • Maintain appropriate appearance, courteous demeanor, and positive attitude when dealing with children, parents and staff.
  • Participate in and support the Annual Community Support Campaign and play a leadership role in this campaign at the YMCA.
  • Participate in workshops, trainings and seminars that will enhance professional growth, including quality teams as required.
  • Participate in required Branch and Association-wide activities and events.
  • Be an integral part of the East Orange YMCA key staff team and work together to foster the growth and quality of all East Orange initiatives for the community.
  • As a member of the professional staff, share responsibility for the administration of the success for the overall Branch performance and help maintain a positive image for the East Orange YMCA.
  • Demonstrate and model the YMCA’s four core values of Caring, Honesty, Respect, and Responsibility.
  • Exhibit personal and professional behavior in a manner consistent with the best interest of the Association, so as not to bring discredit to the Association.
  • Perform such other job-related duties as may be periodically assigned by the Supervisor.
Educational Background: 
Bachelor’s degree in Business administration and/or customer service related field or equivalent.
Skills/Experience: 
  • Minimum of three years successful experience working within a business administration capacity with excellent financial skills including budget management.
  • Minimum of three years proven supervisory experience
  • Highly organized office management skills.
  • Must have excellent customer service and interpersonal skills.
  • Computer literate – Microsoft office including Microsoft Work, Excel, and PowerPoint; Internet Search.
  • Must be able to interact and relate well to various populations.
  • Outstanding communication skills, both written and verbal.
  • Transportation is required.
Compensation/Benefits: 

 

Salary: $50,000.00
