Provides day-to-day administrative and logistical support for volunteers and the state team. Trains and/or supports staff and volunteer application of systems and technologies in support of organizational goals and objectives in keeping with AARP policies and procedures.
- Acts as the first point of contact in the state office for AARP members, the public, volunteers, and vendors. Answers general questions about AARP’s programs, products & services and directs members and the public to the appropriate departments as needed.
- Prepares flyers, brochures, alerts, news releases, direct mail pieces, letters, memos, presentations, and training materials with minimal directions or draft format. Prepares camera-ready materials for production, as well as coordinates schedules and delivery of materials. Creates and/or coordinates large-scale communications, editing, or printing projects such as event materials, review of program/issue materials, or presentations.
- Answers state e-mails, phone calls and maintains the office work spaces, including inventory supply monitoring and organization.
- Maintains project/activity work plans and calendars along with the State Office master calendar. Manages conference room reservation schedules and provides assistance to partner organizations during use of meeting space. Coordinates activities to support the various programs and events. Serves as a resource person to staff and volunteers. Participates in team meetings, maintains records, and prepares reports.
- Demonstrates AARP Leadership behaviors in all interactions.
- a minimum of two (2) years of progressively responsible administrative experience; or an equivalent combination of training and experience related to the duties of the position.
- High degree of proficiency with MS Office Suite and general technical aptitude.
- Bi lingual speaking proficiency
- Occasional travel may be required.
