The Development Coordinator plays a critical role in ensuring that the External Affairs team has the key data and internal systems to operate successfully, helping us to meet critical fundraising and regional goals. This role will support the logistics of donor-focused school visits and the planning and execution of other donor-facing external events. The Coordinator will lead team-wide data integrity, maintenance and reporting initiatives, and managing the gift processing system for all four streams of giving (individual, corporate, foundation, and public).

The Development Coordinator must have an intrinsic attention to detail, organizational proficiency, knack for learning and building new systems, as well as a keen desire to explore efficient ways to work within the External Affairs team, with the Executive Director, and the broader regional team. The Coordinator is able to thrive in a fast-paced environment and easily navigate and provide support for multiple projects while maintaining an unwavering eye for accuracy and quality. Additionally, the Coordinator is interested in a future in Development work and the prospect of cultivating and managing relationships with donors. The Coordinator will report directly to the Director, Institutional Advancement.

Areas of Responsibility: 

Managing Data, Systems, and Operations (35%)

  • Manage team systems and operations, including tracking actions related to donors or prospects, collecting donor commitments, and processing gifts
  • Track, review, and process all revenue received in our region, and act as a regional liaison with our national teams to ensure efficiency and compliance
  • Maintain accurate data in Teach For America’s internal constituent management database (TFACT) and communicate with portfolio managers to gather and share the most up-to-date information
  • Develop efficient systems to collect and organize Teach For America - Detroit content and collateral to be used for external audiences including developing compelling profiles of corps members, alumni, and students to be compiled in a region-wide story bank

Donor Strategy, Research, and Stewardship (35%)

  • Coordinate and conduct ongoing research on new and existing donors to identify motivations and barriers to contributing to our organization and potential levers to deepen their connection to and support of our work
  • Create research profiles for a wide range of institutional purposes including prospect management, solicitation preparation and Board recruitment
  • Provide key support for grants, reports, and proposals, including gathering key data, partnering with functional teams, writing grant narratives, and ensuring on-time submission and excellence in delivery
  • Prepare and compile materials for use in external meetings
  • Coordinate donor mailings and produce high-quality written and visual communications such as follow-up correspondence, gift acknowledgements, newsletters, one-pagers, thank you letters, etc.

Event Planning and Execution (20%)

  • Work with the regional team and outside stakeholders to craft vision and timeline for school visits, donor events and board engagements
  • Produce and coordinate event timelines, checklist, and project plans
  • Support logistics for inspiring events and school visits including creating and compiling materials, coordinating corps members, alumni and speakers, and managing execution of follow-up
  • Manage day-of and post-event logistics coordination
  • Assist with the analysis of event data and outcomes to ensure continuous improvement

Ongoing Regional Responsibilities (10%)

  • Serve as an “all hands on deck” team member willing to support the region in various ways as needs and opportunities arise, by taking on the following:
    • Participate in and support various regional and national efforts, including events and special projects that sometimes occur on nights and weekends, including corps member selection, recruitment and matriculation, corps member professional development Saturdays, fundraising and alumni networking events, staff meetings, functional team meetings and retreats, and regional pre-service
    • Complete general administrative responsibilities accurately and on time.
Educational Background: 
Bachelor’s degree
Skills/Experience: 
  • Minimum 1-2 years work experience
  • Prior experience with Development and Fundraising preferred, but not required
  • Experience working in the Detroit education or philanthropic landscape preferred, but not required
  • Highly organized with proven time management skills
  • Possesses a spirit of flexibility, a positive outlook and a strong customer service ethic
  • Comfortable working on administrative projects, back-end operations and supporting the team to execute
  • Strong research and analytical skills
  • Critical thinker who displays good judgment in prioritizing problems to resolve and opportunities to pursue
  • Strong written and interpersonal communication skills
  • Exceptional personal responsibility for meeting goals and a track record of success
  • Ability to operate with purpose, urgency, and accuracy in a fast-paced, deadline-driven environment
  • Knowledge of MS Outlook, PowerPoint, and Excel are preferred

Work Demands

  • Ability to work evenings and weekends when necessary
  • Minimal travel required – approx. 2-6 times per year
