As part of the program team, the Senior Program Manager is instrumental in ensuring CNDC has a strong portfolio of Projects that have the guidance they need to be successful. This position works closely with the Chief Operating Officer to ensure Projects’ compliance with legal and risk management requirements, particularly around contract drafting, review, and compliance. The Senior Program Manager will manage the Project application, selection, and onboarding process, serve as a Projects’ point of contact at CNDC, and evaluate, maintain, and update department and organizational policies, tools, and processes to ensure the effectiveness of the fiscal sponsor program. This position works closely with all CNDC’s Projects to provide coaching, tools, and training in nonprofit management best practices.

In our 20 years of operation, we have grown to be a trusted partner whose administrative services allow charitable projects to focus on their programming and impact while we focus on the back-office piece of operations. We currently serve over 70 projects (https://cndc.org/what-we-do/projects-we-support/), encompassing 200+ employees, and thousands of volunteers. Project missions are wide-ranging, and include education, public health, community organizing, environmental protection, and more. Each Project is different, from multi-million dollar budgets with multiple staff and programs to those that are solely volunteer led with smaller fundraising needs and everything in between. Fiscal sponsorship is when a 501(c)(3) nonprofit (CNDC) accepts charitable groups (“Projects”) under its legal umbrella, allowing them to operate as nonprofits without needing to apply for approval from the IRS. At CNDC, we practice comprehensive fiscal sponsorship (https://www.fiscalsponsors.org/models-of-fiscal-sponsorship) meaning there is no separation between CNDC and the Projects we fiscally sponsor – one bank account, one tax ID number, one insurance policy, etc. As the fiscal sponsor, CNDC provides Projects with back-office administrative services including accounting, human resources, risk management, banking, legal support, and capacity building. Fiscal sponsorship helps creates efficiencies and accountability in the nonprofit sector, as it frees up Project leaders so they can focus on program development and delivery, fundraising, and board development, and planning in service of their mission rather than on the back-end administrative services mentioned above.

The Senior Program Manager will manage the Project application, selection, and onboarding process, serve as a Projects’ point of contact at CNDC, and evaluate, maintain, and update department and organizational policies, tools, and processes to ensure the effectiveness of the fiscal sponsor program. This position works closely with all CNDC’s Projects to provide coaching, tools, and training in nonprofit management best practices.

 

SPECIFIC DUTIES:

Risk Management and Compliance:

  • Lead Program Team in ensuring that Projects comply with legal, regulatory, financial, and liability policies, regulations, and best practices
  • Mitigate risk and ensure compliance by overseeing the review, revision, or drafting of over 750 (annually) Project-related contracts and grant agreements
  • Ensure that Projects’ property and programming are properly insured through continual communication with CNDC’s insurance broker
  • Ensure program policies and procedures, such as the Project Handbook, abuse and prevention policy, and volunteer driver policies, are regularly updated and communicated to Projects, as well as regularly checking in with Projects to ensure they are understood and followed

Project Selection and Onboarding:

  • With internal and external stakeholders, manage Project application and selection process from inquiry to approval, ensuring applicants who move forward in the process meet CNDC’s criteria, providing guidance on the application process, and mitigating any risk to CNDC
  • Support the Program Coordinator in responding to questions from community members regarding fiscal sponsorship, CNDC, and the application process
  • Lead monthly new Project Director Orientations, facilitate Project Selection Committee meetings, and lead Projects through the onboarding process

 

Project Development and Support:

  • Lead Program Team in coaching and advising Project directors and Project boards on nonprofit management issues to promote the success of their organization, through regular check-in’s, coaching, workshops, and trainings
  • Ensure that Projects have the nonprofit management tools available to effectively build Project’s capacity to fulfill its mission.

 

Management

  • Evaluate department systems and processes and make recommendations for improvement
  • Manage department meetings, work plans, and work loads
  • Actively participate and collaborate as a member of the Management Team, including attending Management Team meetings and supporting Management-led projects and initiatives
  • Hire, supervise, motivate, and develop direct reports; this presently includes the Program Coordinator position
  • Monitor and evaluate staff performance and create performance improvement plans for direct reports as needed
  • Participate in organizational planning

Skills/Experience: 

We are looking for someone who is/has:

  • Minimum
  • Experience with reading and understanding legal contracts and insurance policies with an eye for risk management and compliance
  • Deep understanding and experience with nonprofit management concepts, such as board development, risk management, and fundraising
  • Experience with grant research, submittal, and management
  • Experience developing and monitoring processes, procedures, and policies
  • Experience managing or coaching staff, volunteers, or other similar individuals
  • Ability to effectively communicate technical and detailed information
  • Ability to analyze and consider multiple perspectives when problem-solving
  • Ability to prioritize, organize, and handle multiple tasks and deadlines with attention to detail and interruptions in a fast-paced, dynamic, and collaborative work environment
  • Ability to interact and communicate effectively with all levels of management, staff, Projects, funders, vendors, and other stakeholders, both verbally and in writing
  • Familiarity with Microsoft 365, or a similar product, and well versed in basics of operating technology with a curiosity to learn new software and platforms.

 

Helpful but not required:

  • Formal training or education in nonprofit management such as a certificate program or Bachelor’s or Master’s degree
  • Understanding of fiscal sponsorship

 

OFFICE/REMOTE WORK: CNDC is working remotely due to threat of COVID. Employees should have access to a strong internet connection, cell phone, and space to work, although we have some flexibility. CNDC provides a laptop and needed accessories, cell phone stipend, and supplies. Post-COVID, we anticipate a flexible work environment where employees can choose to work from home or the office with at least occasional time in the office. Employee requests for full-time remote work are handled on a case-by-case basis. CNDC’s normal hours of operation are 8:30-5:00 with flexibility depending on job requirements and personal circumstances.   • Salary Range is $70,200 - $86,000 (annually)
