The Program Coordinator is an integral member of the Program team. As part of the Program team, the Program Coordinator helps ensure CNDC has a strong portfolio of Projects that have the guidance they need to be successful. The Program Coordinator leads the coordination of contracts, provides support to a cohort of Projects, and helps facilitate the Project Application and Selection process. In this role, the Program Coordinator has the opportunity to work on strategic projects with the Program team and cross-departmental work groups.

In our 20 years of operation, we have grown to be a trusted partner whose administrative services allow charitable projects to focus on their programming and impact while we focus on the back-office piece of operations. Project missions are wide-ranging, and include education, public health, community organizing, environmental protection, and more. Each Project is different, from multi-million dollar budgets with multiple staff and programs to those that are solely volunteer led with smaller fundraising needs and everything in between. As a member of our administrative team (approximately 20 people), you can expect to join a dynamic workplace where staff collaborate with each other through and across work groups, teams, and departments. Fiscal sponsorship is when a 501(c)(3) nonprofit (CNDC) accepts charitable groups (“Projects”) under its legal umbrella, allowing them to operate as nonprofits without needing to apply for approval from the IRS. At CNDC, we practice comprehensive fiscal sponsorship (https://www.fiscalsponsors.org/models-of-fiscal-sponsorship) meaning there is no separation between CNDC and the Projects we fiscally sponsor – one bank account, one tax ID number, one insurance policy, etc. As the fiscal sponsor, CNDC provides Projects with back-office administrative services including accounting, human resources, risk management, banking, legal support, and capacity building. Fiscal sponsorship helps creates efficiencies and accountability in the nonprofit sector, as it frees up Project leaders so they can focus on program development and delivery, fundraising, and board development, and planning in service of their mission rather than on the back-end administrative services mentioned above.

 

OVERVIEW OF POSITION:  The Program Coordinator is an integral member of the Program team. As part of the Program team, the Program Coordinator helps ensure CNDC has a strong portfolio of Projects that have the guidance they need to be successful. The Program Coordinator leads the coordination of contracts, provides support to a cohort of Projects, and helps facilitate the Project Application and Selection process. In this role, the Program Coordinator has the opportunity to work on strategic projects with the Program team and cross-departmental work groups.

 

SPECIFIC DUTIES:

Risk Management and Compliance:

  • Coordinate and process over 400 (annually) Project-related contracts, leases, and agreements using FormSite, Salesforce, and DocuSign with guidance from Senior Program Manager
  • Work with the Program Team to ensure that Projects comply with CNDC’s legal, regulatory, financial, and liability policies
  • Communicate with insurance broker about changes to Projects’ property and inventory 
  • Ensure volunteer background check account (Sterling Volunteers) is updated and current
  • Works with firm to annually gather the necessary documentation that keeps CNDC in compliance with charitable solicitation laws to ensure CNDC’s Projects can fundraise nationally  

Project Development and Support:

  • With Program Team, coach and advise a cohort of Project directors on nonprofit management issues to promote the success of their organization, through regular check-in’s, workshops, and trainings
  • Manage and oversee three email inboxes ensuring responses are provided to over 150 queries per week
  • Support Projects in researching and setting up Colorado Gives, WeDidIt, crowdfunding, and other online giving channels
  • Prepare Project anniversary and welcome cards
  • Coordinate learning and engagement opportunities for Projects which could include scheduling sessions, securing presenters, sending out invitations, coordinating RSVPs, and setting up for virtual and/or in-person workshops

Project Application, Selection, and Onboarding:

  • Serve as the initial point of contact for and answer questions from Project Pre-Applicants
  • Evaluate Pre-Applicants’ ability to meet the minimum requirements of becoming a Project of CNDC and communicate eligibility to potential Projects and Senior Program Manager
  • Coordinate and organize application and selection materials, and participate in application and selection meetings with potential Projects
  • Coordinate Project Selection Committee meetings and New Project Orientations, including sending out invitations and materials
  • Lead the onboarding process of newly-approved Projects with support from Senior Program Manager

Other duties as assigned.

Skills/Experience: 

We are looking for someone who is/has:

  • Minimum two years’ experience in the nonprofit sector as an employee, consultant, volunteer, or related position
  • Minimum two years’ working experience in an office environment
  • Familiarity with nonprofit management concepts, such as board development, risk management, and fundraising
  • Experience with data entry and ability to follow related processes
  • Ability to effectively communicate detailed information
  • Ability to analyze and consider multiple perspectives when problem-solving
  • Ability to prioritize, organize, and handle multiple tasks and deadlines with attention to detail and interruptions in a fast-paced, dynamic, and collaborative work environment
  • Ability to interact and communicate effectively with all levels of management, staff, Projects, vendors, and other stakeholders, both verbally and in writing
  • Familiarity with Microsoft 365, or a similar product, and well versed in basics of operating technology with a curiosity to learn new software and platforms.

 

Helpful but not required:

  • Formal training or education such as a certificate program, Associate’s or Bachelor’s degree
  • Experience with Salesforce or a related CRM database
  • Experience with DocuSign Familiarity with fundraising and payment processing platforms
  • Experience coordinating projects that involve multiple stakesholders
  • Experience with document management including contracts
Compensation/Benefits: 

Compensation and Benefits

  • Salary Range is $43,800 - $51,500 (annually)

Additional Information: 

OFFICE/REMOTE WORK: CNDC is working remotely due to threat of COVID. Employees should have access to a strong internet connection, cell phone, and space to work, although we have some flexibility. CNDC provides a laptop, cell phone stipend, and an equipment stipend. Post-COVID, we anticipate a flexible work environment where employees can choose to work from home or the office with at least occasional time in the office. Employee requests for full-time remote work are handled on a case-by-case basis. CNDC’s normal hours of operation are 8:30-5:00 with flexibility depending on job requirements and personal circumstances.
