The Director of Operations is responsible for all operations functions in a small Business Unit. The Director will be responsible for Human Resources, Facilities and Office Management, Information Systems, and Safety.

Areas of Responsibility: 

The Director of Operations will work towards meeting the priorities of the program by developing and implementing tactics for approved plans and completing and/or overseeing day-to-day tasks. They provide support with development and implementation of the office budget, and monitoring progress. They are responsible for central administrative processes related to facility and office management, human resources, telecommunications, public reception, office equipment, and purchasing. They directly oversee all aspects of facility and office management including but not limited to managing sub-leases and facility use agreements, coordinating use of facility for internal and external meetings, solving issues as needed with the property management company and other vendors, scheduling and coordinating logistics for special events and/or meetings, negotiating and purchasing, managing mail and reception, among other tasks.

They provide direct support on Human Resources issues, working closely with the regional Human Resources Business Partner and respective supervisors. This includes drafting and posting job descriptions, developing interview questions, creating and tracking hiring documents and agreements, and assisting with onboarding efforts. The Director will provide guidance in satisfying requirements based on knowledge of policies and procedures. They will interpret guidelines and analyze information to achieve results, improve workflow, and solve problems. They will provide recommendations related to the functional activity they manage. The Director will work in close cooperation with any or all of the following: the Director of Office Services, various Conservancy staff, volunteers, vendors, public agencies, financial institutions, and legal and finance professionals. They will organize and coordinate diverse activities, project outcomes, monitor progress, and implement solutions, in consultation with leadership.

RESPONSIBILITIES AND SCOPE 

  • The DOO does some combination of the following:
  • Act independently within program goals to prioritize tasks in the absence of specific instructions and exercise independent judgment to identify and solve problems;
  • Perform daily administrative functions to ensure the proper functioning of an office.
  • Ensure programmatic commitments, Conservancy policies and procedures, and legal requirements are met and managed for compliance. Decisions may bind the organization financially or legally;
  • Oversee day-to-day human resources activities related to hiring, onboarding, and work arrangements;
  • Oversee day-to-day financial activities related to facilities and office management such as purchasing, processing invoices, negotiating, and contracting with vendors, coordinator space use, and allowing strategic use of the facility;
  • Develop and monitor budget and financial recommendations;
  • Develop and maintain emergency procedures for the facility;
  • Maintain confidentiality of frequently sensitive and emotionally-charged information;
  • Manage functional activity towards program’s strategic goals;
  • Manage projects with several variables, set realistic deadlines, manage a timeline, and ensure accountability.
  • Travel occasionally, working long and flexible hours as needed;
  • May participate in complex negotiations;
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain; and
  • Work is diversified and may not always fall under established practices and guidelines.
Educational Background: 
Bachelor’s degree and 5 years related experience or equivalent combination;
Skills/Experience: 
  • Experience coordinating large, complex projects;
  • Experience generating financial reports and analyzing and interpreting data;
  • Experience developing and administering departmental budget or equivalent;
  • Experience negotiating favorable agreements with vendors;
  • Experience establishing and managing well-run partnerships;
  • Experience managing multiple central administrative processes; and
  • Experience working across departments.

DESIRED QUALIFICATIONS

  • Master’s Degree preferred;
  • Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated;
  • Ability to implement complex processes;
  • Demonstrated experience handling confidential information;
  • Demonstrated experience using diplomacy and tact to build strong relationships and motivate staff;
  • Experience working with government awards;
  • Experience interpreting guidelines to achieve desired results;
  • Strong organization and negotiating skills, accuracy, attention to detail and ability to manage multiple tasks; and/or
  • Non-profit experience;
  • Experience in supporting Human Resources Processes.
