The Program Specialist will work with the Chief of Staff and as part of the Chief Conservation Office coordinating tasks for special projects. S/he will be responsible for providing administrative, coordination and research support, amongst others.
The Program Specialist will provide administrative support to the Chief Conservation Officer’s Chief of Staff and the CCO Team. This role is a unique hybrid opportunity for someone with demonstrated administrative abilities and a desire to increase their project management / coordination skills. The role will be approximately equally balanced between administrative responsibilities and the coordination role:
Coordination
- The Program Specialist will work towards meeting the strategic priorities of the CCO team by implementing tactics for approved plans and completing and organizing varied tasks and activities.
- Responsible for coordinating CCO team activities; set agenda and organize team calls.
- Assist with management of team needs related to special projects in conservation including but not limited to: assisting with communications from the CCO office, updating/maintaining documents and intranet pages, assisting with Conservation Management Team meeting, and assisting with Board related tasks as needed.
- The Specialist will effectively communicate or distribute information to assist the team to make decisions, solve problems, and improve workflow.
Administration
- Includes frequent interaction with all members within the organization; customers, vendors and partners.
- Duties are highly confidential and require comprehensive knowledge of TNC’s policies, procedures and operations. Responsibilities require discretion, judgment, tact and poise.
- Incumbent has considerable latitude and flexibility in carrying out assigned tasks. Ability to adapt and respond to the demands of a fast-paced executive calendar and workload; and willingness to make interpretations and recommendations as appropriate.
This position performs a variety of high level administrative tasks, which may include travel arrangements, expense approvals, meeting logistics, scheduling, reporting and tracking
RESPONSIBILITIES AND SCOPE
- Act independently on assigned tasks and exercise independent judgment based on analysis and experience.
- Coordinate projects with several variables, work within a defined timeline and budget.
- Develop materials that are compelling and appealing to diverse audiences.
- Ensure compliance with TNC policies and procedures, and external (donor/legal/IRS) requirements.
- Financial responsibility includes working within a budget, processing invoices and transfers, and contracting with vendors.
- Provide input through project teams for the improvement of existing programs.
- Refer difficult questions and unusual problems to supervisor.
- Some travel and work flexible hours.
- Work is diversified and may not always fall under established practices and guidelines.
- Work within scope of program’s strategic goals
MINIMUM QUALIFICATIONS
- Experience building relationships with staff, customers or similar.
- Experience generating reports and interpreting data.
- Experience in business writing, editing, and proofreading.
- Experience working across teams.
- Experience, coursework, or other training in project management
DESIRED QUALIFICATIONS
- Multi-lingual skills and multi-cultural or cross-cultural experience are appreciated.
- Ability to analyze information for the purpose of coordinating and planning activities, and solving problems.
- Ability to use existing technology to achieve desired results.
- Ability to work under pressure and perform repetitive tasks.
