Context: The Administrative Assistant performs various administrative duties to support the day to day operations of the Georgia Chapter office.

Scope: The Administrative Assistant performs administrative, bookkeeping, and general office duties, coordinates chapter activities and meetings, interacts with volunteers, and responds to routine inquiries from members, volunteers, and the general public.

Areas of Responsibility: 
  • Clerical and administrative support to the Deputy Director and chapter office
    • Maintains mailing lists and membership files and databases
    • Maintains office supply inventory, equipment, computer systems, and handles maintenance and repairs.
    • Reviews and routes incoming mail.
    • Coordinates chapter meetings, prepares agenda, takes notes as needed, and maintains chapter calendar.
    • Responds to, provides information, or routes all inquiries to the chapter office in a pleasant and professional manner.
  • Bookkeeping
    • Maintains financial income and expense records, processes payables and receivables.
    • Processes donations, thank you letters, and assists with other fundraising tasks.
  • Increase member engagement
    • Assists in recruiting and organizing volunteers
    • Refers members to appropriate committees and volunteer leaders
  • Performs other miscellaneous duties as directed.
Educational Background: 
We are seeking candidates who are self-starters able to manage competing priorities, excel in relationship-building and communication across lines of difference, and have a high level of attention to detail.
Skills/Experience: 
  • You should have:
  • Ability to strategically prioritize a high volume of work with efficiency
  • Maintains a high level of attention to detail and is thorough enough to catch errors before work is completed.
  • Customer service oriented individual who is able to work across lines of difference to create a pleasant, professional, and inclusive atmosphere in the office, at events, and via other forms of communication.
  • Able to adapt to changing plans and priorities in a fast paced work environment.
  • Prior administrative and bookkeeping experience as well as proficiency in Google Docs, QuickBooks, Excel, and Salesforce a plus but are not requirements.
