A primary responsibility of the Administrative Assistant is to provide essential administrative duties both for the local Miami Valley Chapter and Region 10.

This position will be located in Dayton, Ohio and reports to the Regional Leader.

Areas of Responsibility: 
  • Organize and schedule appointments for the Regional Leader related to the local chapter/region
  • Organize and plan board related meetings on behalf of the Regional Leader and the local executive team
  • Plan meetings, create and develop power points and take detailed minutes
  • Write and distribute emails, correspondence memos, letters, and forms
  • Assist in the preparation of regularly scheduled reports related to fundraising and strategic objectives for local the chapter/region
  • Develop and maintain a filing system
  • Answer and direct phone calls for the Regional Leader
  • Maintain contact lists
  • Book travel arrangements
  • Submit and reconcile expense reports
  • Act as the point of contact for internal and external clients
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior manager
Educational Background: 
Bachelor’s degree preferred and four years of relevant work experience.
Skills/Experience: 
  • Customer service experience preferred.
  • Experience with donor, volunteer and program department online databases (Personify, Convio) preferred.
  • Excellent organizational and time management skills to prioritize workload and meet deadlines; strong attention to detail.
  • High degree of integrity, confidentiality, diplomacy and initiative.
  • Excellent interpersonal and verbal/written communication skills.
  • Proficiency in Microsoft Office and Google Apps.
  • Ability to analyze information to anticipate situations requiring forethought and follow-up with executives and multiple stakeholders; make timely and appropriate decisions.
  • Ability to collaborate and work well as part of a team; flexibility and adaptability are essential.
  • Ability to work independently and succeed in a growing, fast-paced organization.
  • Ability to work effectively with diverse populations.
  • Ability to travel locally as needed to perform job duties.
  • Ability to lift and move up to 50 lb.
  • Occasional evenings and weekend hours may be needed for chapter event support.
  • Ability to lift and move up to 50 lb.
  • Must possess valid driver's license, good driving record, access to reliable vehicle and proof of automobile insurance.
