The Sixth Floor Museum at Dealey Plaza is currently looking for a high-functioning, experienced, and extremely organized assistant to serve as the Executive Assistant to the CEO. This position requires a high level of professionalism, confidentiality, organization, and communication skills. The ideal candidate must have prior experience in an executive office dealing with many different tasks that are occurring at the same time. A successful candidate will be able to prioritize tasks, be polished, discrete, diplomatic, and able to represent the executive office with professionalism with all levels of people. This role requires strong attention to detail, high-functioning administrative skills, the ability to prioritize tasks continually, as well as a self-starting attitude.

- Provide optimum support to the Chief Executive Officer through on-going communication.
- Facilitate communications, keeping the Chief Executive Officer promptly informed of any scheduling or work flow changes.
- Serve as gatekeeper to the Executive office including, but not limited to, fielding phone calls, guests, meeting requests and coordinating the Chief Executive Officer’s schedule.
- Manage Chief Executive Officer’s schedule for on-site and off-site meetings as well as organize travel itineraries and schedules through Microsoft Outlook.
- Coordinate on-site and off-site committee and Board of Director’s meetings.
- Perform full administrative and general office duties for the Chief Executive Officer and Board of Directors while retaining confidentiality.
- Responsible for resolving telephone and guest inquires directed to the Executive office.
- Prepare proposals, presentations, charts, tables, memoranda, letters and other forms of general correspondence for the executive office and Chief Executive Officer.
- Responsible for prioritizing and managing multiple projects simultaneously.
- Conduct research, assemble and analyze data to prepare reports and documents.
- Process mail for the Chief Executive Officer on a daily basis including correspondence and requests for brochures.
- Oversees the Office Coordinator and the Executive Office intern.
- Responsible for handling all donation and auction requests in the form of tickets, gift baskets, and other possible give away items.
- Responsible for refreshments, lunches, and supplies of special events for board meetings, staff members, special guests, and outside consultants/contractors.
- Create letters, memos, agendas, and minutes for the Chief Executive Officer and Museum.
- Other duties and projects as assigned.
- Minimum of 3 year’s recent experience providing senior level administrative support.
- Excellent written and oral communication skills.
- Excellent skills in Microsoft Office Suite – including Word, Excel and PowerPoint.
- Ability to prioritize workflow, answer phones, manage a fluctuating workload and perform a wide variety of work.
- Strong organizational, problem solving, record management, filing and planning skills.
- Prior experience in supervising and management preferred.
- Ability to assess/reassess priorities effectively and efficiently in order to meet deadlines.
- Professional demeanor and presentation at all times.
- Knowledge and appreciation for nonprofit and museum work preferred.
- Expertise in creating letters, memos, agendas, and minutes.
- Prior experience in professionally handling confidential information.
- Ability to work a flexible schedule determined by the needs of the Museum.
