The Executive Assistant provides support to the Executive Director for Audubon New York and Audubon Connecticut. This position will create materials such as PowerPoint presentations to support leadership, project manage material creation, as well as manage calendars, travel and expenses in addition to other administrative responsibilities as needed.

Areas of Responsibility: 
  • Maintain busy calendar and arrange travel for the Executive Director for Audubon CT and Audubon NY.
  • Act as coordinator and manage ED’s day.
  • Prepare ED for meetings including printing documents and collecting supporting documentation.
  • Keep informed about major projects; learn and stay abreast of current priorities as they relate to the ED’s goals and strategy.
  • Prepare written communications and correspondence on behalf of ED.
  • Answer and screen phone calls and emails. Take messages and field questions as appropriate.
  • Proofread, edit, and facilitate documents and reports.
  • Organize meetings with internal stakeholders as well as outside organizations.
  • Create and maintain administrative systems.
  • Facilitate expense reports, and other documents requiring ED’s approval.
  • Professionally handle confidential information including administration and personnel information.
  • Act as liaison with other internal departments’ stakeholders and outside organizations.
Educational Background: 
Associate’s degree required, bachelor's degree preferred. Equivalent experience will be considered in lieu of education.
Skills/Experience: 
  • At least 5+ years of executive support or similar required.
  • Organized and detail-oriented with a commitment to excellence.
  • Proficiency with MS Office applications and impeccable technical skills, including comfort with — apps, sites, tools; demonstrated ability to stay abreast of time and effort enhancing tools.
  • Strong written and oral communication skills. Research-savvy; internet and resource proficient.
  • Outstanding interpersonal skills, as this job requires frequent interaction with diverse individuals including board trustees and funders.
  • Ability to build relationships, both inside and outside the organization.
  • Poised, confident, self-directed and assertive with high energy, resourcefulness, adaptability and creativity.
  • Ability and maturity to manage up as well as down.
  • Excellent judgment and discretion.
  • Ability to focus, multi-task, prioritize and meet deadlines in a rapidly moving environment
  • Enjoys a team-oriented, fast-paced and entrepreneurial culture
