Senior Manager of Operations

The Manager of Operations will report to the Executive Director and will execute administrative duties, coordinating cross-departmentally to effectively manage internal aspects of a rapidly growing nonprofit. This role will maintain cordial and professional working relationships with the Executive Team, Leadership Council and several contractors to improve efficiency across the organization. The ideal candidate will be a proactive problem solver with experience maintaining systems and meticulous attention to detail.

Areas of Responsibility: 

Financial Management (25%)

  • Oversees Accounts Payable operations for LF
  • Works with accountant to review and reconcile monthly financial reporting and expense categorization
  • Maintains event budgets and reconciles with bank account regularly

 

Development Support (20%)

  • Creates grant portal logins and prepopulates templated information 
  • Stewards the grant contract process from notification until the money is in our account  
  • Helps maintain and organize information about upcoming and future grant opportunities
  • Supports with funder outreach, engagement, and reporting 
  • Reviews grants for intelligibility, clarity, word count, typos, spelling, grammar, and conciseness
  • Sends acknowledgments, contracts, and thank you letters 

 

Human Resources (15%)

  • Contributes to and updates internal documents to capture evolving policies and procedures, such as the employee handbook, organizational chart, etc.
  • Manages employee logistics and onboarding
  • Tracks and manages staff workplace harassment training compliance
     

General Administration (40%)

  • Works with the Executive Director to create, maintain, and refine systems for planning, tracking, grant compliance, and staff management 
  • Leads the creation and implementation of the CRM, databases, and/or project management platforms that integrate data across departments
  • Supervises contractors for HR, accounting, and other core functions on an ongoing basis
  • Processes mail biweekly
  • Proactively identifies opportunities for streamlining administrative processes
  • Provides operations support and staffing for LF events 
  • Performs additional duties as assigned
Educational Background: 
Bachelor’s degree and 4+ years of experience in development or operations or 7+ years of experience without a degree
Skills/Experience: 

Required

  • Bachelor’s degree and 4+ years of experience in development or operations or 7+ years of experience without a degree
  • Pass a background check
  • Experience in grant management and accounting
  • Experience with Google Docs and Google Sheets
  • Excellent written and verbal communication skills 
  • Attention to detail, project management, and impeccable organizational skills
  • Ability to prioritize, multi-task, and follow through with minimal direction
  • Adept at problem-solving and conflict resolution
  • Flexibility in varied job assignments
  • Familiarity with social justice, racial justice, and LGBTQ+ communities
  • Must live in or be able to commute to Chicago

Preferred

  • Master’s degree and 5+ years of experience 
  • Experience with CRM, Salesforce, Asana, Quickbooks, Gusto, and/or donor management software
  • An upbeat, positive attitude and a good sense of humor 
Compensation/Benefits: 

$65,000-$75,000 + Benefits commensurate with education and experience
